JOBSUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of an assignedsupervisor, this position serves as subject-matter expert for the graduateprogram and provides administrative, clerical, and bookkeeping support forfaculty, research staff, graduate students, postdoctoral fellows, anddepartment business managers within the College of Pharmacy.
Provides administrative support, i.e., assists with university policy guidelines, maintains files, payables, inventory, and enters data into IRIS, orders supplies.
Prepares travel requests and processes travel expenses; prepares purchase requisitions, asset numbers, and NCJs; and prepares internal transfers, organizational memberships, conference registrations, and subscriptions.
Reviews and reconciles monthly ledgers for accounts.
Preparing invoices paid on department procurement card to include packing slips, order forms, and invoices.
Verifies department procurement card and IRIS entry.
Assists with equipment inventory, space surveys, self-assessment reports; and creates correspondence with PharmD/PhD program graduate students.
Maintains budget information for salary distribution and insurance support.
Orders office and lab supplies including computers, printers, and research equipment.
Prepares and enters invoices in IRIS for payment and prepares internal transfer vouchers.
Identifies building maintenance issues, initiates work order repairs in Archibus, and ensures repairs have been completed.
Resolves registration issues and provides banner and blackboard support.
Schedules graduate student seminar presentations and maintains proctoring schedule for the PharmD program.
Performs other related duties as assigned.
