The Administrative Assistant III reports to the Center for Occupational and Environmental Health (COEH) within the Department of Public Health Sciences. The core activities of the COEH are to educate future leaders in occupational and environmental health, develop new knowledge, and bring the resources of the University of California to people affected by health hazards in their workplaces or communities. The Department of Public Health Sciences is a large complex teaching, research and clinical department in the UC Davis School of Medicine. The mission of the Department of Public Health Sciences is to improve the health of people using approaches based in epidemiology, biostatistics, economics, and behavioral science through research, educational programs, clinical programs, public service, and policy development.

Responsibilities This position provides human resources and financial support for the Interagency Agreements between the California Department of Public Health and the department of Public Health Sciences. The incumbent is responsible for accounting support, assisting with preparation of budget analysis, preparation of operational reports and assisting with Human Resource recruiting activities to support the state contracts and other department units as necessary. This position requires a high level of accuracy and responsibility.
Demonstrated experience, knowledge and skill with accounting and accounts payable.
Demonstrated experience and skills using automated financial systems to process and validate accounting actions and to record, analyze and verity financial expenditures and research/secure information to resolve purchasing problems.
Demonstrated advanced skill using MS Office Suite, including Word, Publisher, Excel, and Outlook.
Demonstrated skill and knowledge to create and process travel and entertainment reports.
Demonstrated organizational and analytical skills to assume general assignments and independently follow through to successful completion without direct supervision; and to work under pressure despite frequent interruptions, manage multiple priorities in a complex work environment, and meet deadlines.
Excellent professional writing, editing and proofreading skills to accurately produce correspondence, newsletters, reports and other written materials.
Demonstrated communication and interpersonal skills to interact in a sensitive and helpful manner with a wide variety of people both in person and over the telephone.
Demonstrated ability to anticipate problems and recommend changes and solutions, and to use good judgement to determine urgency of situations and react appropriately.
Ability to maintain confidential records and disburse information in a confidential manner.
Ability to work flexible hours on occasion.
Experience using UC financial systems (Kuali, PPS) preferred.
Experience with Aggie Travel preferred.
Demonstrated knowledge of university policy and procedures related expense transfers, purchasing, invoicing, travel, and entertainment preferred.
Special Requirements To support the business need, working hours are M - F, 8 - 5 p.m. with limited flexibility. Vacation may be limited during peak periods. Must possess a current driver's license and participate in the DMV Pull Notice Program
