The Department of Microbiology and Immunology comprises an interactive faculty engaged in research in infectious disease and host immune response, and contributes to Undergraduate, Graduate and Veterinary Curriculum teaching, including a Masters of Professional Studies (MPS) program in Veterinary Medical Sciences. We seek an enthusiastic and resourceful individual to provide a high-level of support to the Department Chair and Administrative Manager in all aspects of administrative responsibilities, and represent the Department Chair's office to internal and external audiences.
Administrative responsibilities for the Department include:
Monitor, research and respond to inquiries from numerous contacts on behalf of department chair and manage a dynamic and complex calendar.Communicate Chair's schedule and availability to appropriate individuals, and anticipate the needs of meetings & events.
Prepare and coordinate complex national and international travel arrangements and trip itineraries.Ensure appropriate financial reimbursement for the Chair and visitors to the departments.
Coordinate reappointment and promotion dossier packages for faculty following College guidelines, including drafting necessary correspondence.
Coordinate annual performance dialogue process for all faculty. Prepare materials for Department Chair's review prior to meeting with individual faculty members.
Plan and execute seminars, social events and overnight retreats; prepare itineraries and make logistical arrangements for visitors to the department.
Provide graduate and undergraduate course support such as making travel and lodging arrangements for guest lecturers, scheduling rooms and maintaining records.
Develop and maintain excellent working relationships using tact and diplomacy.
High school diploma/ Associate's Degree and at least 5 years of education and/or high level administrative experience required or equivalent combination.
Positive attitude, professionalism, and excellent interpersonal and communication skills.
Proven ability to think critically, take initiative, and demonstrate a creative and innovative approach to new projects and finding solutions.
Exercise sound judgement and handle sensitive and confidential information with discretion.
Excellent planning and organizational skills with a strong attention to detail.
Work well independently and in a team.
Follow directions and anticipate the needs of the Department Chair.
Be proactive and adapt to changing priorities, and effectively manage competing deadlines, assignments and projects.
Must be comfortable handling new tasks with little explanation and ask questions when necessary.
Be proficient with Microsoft Office Suite- Excel, Word, PowerPoint, Adobe etc.
Be able to push, pull, lift or carry 20 - 40 lbs.
Experience providing high level administrative support in an academic environment.
Familiarity with university policies and procedures.
Familiarity with Academic Policy and practices.
