The Post Office Supervisor manages the operations of the College Post Office. This position is the primary liaison between the College Post Office and the faculty, staff, students, and vendors. The operations consist of a retail customer service window, a backroom receiving area, and a campus delivery service. The customer service window provides postage sales, metered services and package retrieval. The backroom receiving area is where all mail and packages are received, logged, and awaiting delivery. The campus delivery service provides a daily distribution to departments.
Essential Responsibilities: •Supervising, recruiting, hiring, and training staff in commitment to Swarthmore’s Institutional Values as well as the desired outcome of processing all timely items the day received. •Responsible for the allocation of departmental and payroll resources within budgeted constraints. •Responsible for the daily operation of the Post Office, with the goal of processing all timely items the day received: mail, packages, and items to be metered. •Maintaining a trained, efficient, and courteous customer service sales window utilizing customer/peer feedback and quality/quantity standard as measured against defined expectations. •Replenishing and maintaining all postage requirements and USPS Permits. •Monthly accounting reports for postage, Business Reply Mail, UPS and FedEx. Reports completed within a week after the month of reporting •Coordinates departmental delivery requests through allocation and prioritizing human resources. •Ability to work with minimal supervision.
Additional Responsibilities: •Oversees the assignment, distribution, collection and maintenance of mailboxes /keys. •Performs other assignments as directed by the Manager of Fleet and Postal Services
Supervisory Responsibilities: This position provides oversight and supervision for • 6 clerks (PT) • 5-10 students
Required Qualifications: •3-5 years of experience in a post office or mail room environment •Must have personal computer skills and familiarity with Microsoft Suite or similar (Google Suite, etc) •Familiarity with policies, procedures and processes of the USPS, UPS, FedEx, Amazon, and other 3rd party delivery operations •Basic knowledge in copy machine and printer operations
Preferred Qualifications: •Bachelor’s Degree •1-2 years of supervisory experience •Experience with BANNER software is a plus •Prior experience preferred but not necessary.
