The Administrative Coordinator is a key member of the ODMA team and is responsible for providing high level support and coordination for a full range of administrative functions for the Office of Diversity and Multicultural Affairs (ODMA) and to the Senior Associate Dean for Diversity, Equity and Inclusion.Â This position manages complex meeting schedules, assists with the coordination of ODMA events, supports program tracking and evaluation activities, assists with the budget and Workday entries, creates reports, manages dashboards to complement the diversity and inclusion action plan (DIAP), tracks survey results and assists with goals set by DIAP.
The Administrative Coordinator also coordinates the diversity visiting clerkship program in partnership with the Alpert Medical Schoolâ™s Medical Education Office and clinical departments including updating the website, tracking emails and applications, communicating with clinical departments and MedEd to set up mentorship for the students.
Required: Associates Degree (Bachelorâ™s preferred) plus 3 yearsâ™ experience in a service oriented administrative / coordinator role
experience in medical education (medical school, hospital settings) preferred
knowledge of data systems and dashboard creations is preferred
proficiency in Microsoft Office applications including Excel, PowerPoint and Word is required
experience with Google Drive, Calendar helpful
experience organizing events, travel, catering is preferred
or equivalent combination of education and experience
Possess a willingness and ability to support and promote a diverse and inclusive campus community
Familiarity with Drupal and Workday helpful
Excellent written and verbal communication skills are required
Demonstrated ability to work in a team environment and positively interact with people from diverse backgrounds
Excellent interpersonal skills with demonstrated ability to develop relationships with University and outside stakeholders and effectively implement collaborative initiatives
Must be a team player with a strong service oriented attitude
Demonstrated ability and flexibility to multi-task, prioritize multiple directives, and manage diverse job responsibilities
Excellent organizational and computer skills
Ability to think and act independently, and handle competing priorities
Maintain confidentiality regarding student, trainee and faculty issues
