General Statement of Duties: The Administrative Assistant shall possess computer literacy and have medical record management skills. The employee must also possess excellent customer services skills and maintain confidentiality with student records Will be responsible for medical records (archiving, reporting, providing copies, etc.). Responsible for immunization records for all students, which includes data entry, compliance, notifications to students, reporting to appropriate agencies.
Duties & Responsibilities:
Serves as an administrative assistant in the Office of Student Affairs, maintains a calm positive demeanor in a fast-paced confidential office. Assists with greeting constituents and inquiries.
Responsible for medical records, which includes inputting student immunizations into Banner, identifying non-compliant students through the use of a data base, notifying students and placing their registration on hold.
Prepares and sends the annual “Immunization Status Report” of our students, for the state Department of Public Health.
Administrative responsibilities for newly enrolled international students’ medical records. Obtaining lists of incoming students from the Office of International Education, creating patient charts, Banner input of their medical records, hold placement and accurate maintenance of cash receipts for TB tests and blood titers.
Responsible for the overall administrative duties related to medical records (e.g. answering inquiries, providing messages, monitor and maintain filing systems as related to medical record request, immunization, request for records, archives, copies, scanning etc.).
Ensures the confidentiality of student records, exercises discretion and confidentiality in handling and filing of student records, interactions with students and other constituents, and disclosures of appropriate information, consistent with legal and ethical guidelines (e.g., HIPAA, FERPA) related to student information and records.
Retrieves records from university databases/software, search files, etc. in order to respond to inquiries or requests by supervisor.
Reviews forms, lists, documents, correspondence for accuracy and completeness.
Prepares documents, records and prepares reports and collects data, proofreads and edits documents with great attention to detail.
Other duties as assigned
Must have two years of full time or part time equivalent experience in a medical office. Associate Degree in related field highly desired.
Medical knowledge terminology preferred and job experience in a medical environment.
Confidentiality required with all aspects of medical records.
Computer literacy essential (Banner preferred, Microsoft and or Google preferred).
Good organizational skills, self-motivation, problem solving skills, can handle multi-tasks
Ability to be flexible, adaptable and cooperative, pleasant in demeanor.
Must be able to satisfactorily pass a check conducted by the Criminal History Systems Board (CORI) as well as a completed background check satisfactory to the university.
Ability to perform above duties with or without reasonable accommodations.
