Essential Job Duties:
The Program Associate's primary function is to work closely with the Executive Director of Forest Assets to independently administer the college's forest management programs; plan, analyze and organize daily activities, manage data and consult with strategic partners in the execution of programs; and plan, organize and manage all marketing efforts. In addition, this position will spend a quarter of its time working with the college's Assistant Dean for Finance and Business managing the assets of the College and Foundation and coordinating special projects.
The expectations for this position are:
Forest Assets Financial Manager: monitoring the activity and viability of all funds, which are complex and varied with regard to spending guidelines and management systems; ensure compliance, make recommendations and advise Executive Director on strategic use of funds; prepare and analyze financial reports and present these at regular meetings with the Executive Director and/or Assistant Dean for Finance and Business; work closely with Foundations Accounting and Investment and the College Business Office to resolve issues and lead the implementation of initiatives; prepare all expenses for payment through either NC State or Foundations Accounting and Investment, using knowledge of programs to charge the appropriate funds; manage all revenue submissions either to NC State or Foundations Accounting and Investments, using knowledge of program activities and funds to deposit to the appropriate funds; maintain documentation for all financial activities according to retention schedule and fund guidelines; reconcile all financial activity.
Program Manager: strategically plan and initiate programs that will enhance utilization of forest facilities, grounds, and services associated with the forests managed by Forest Assets; lead efforts in coordinating with strategic partners across campus on the implementation of these programs; manage the Hofmann forest mitigation bank credits program, working with US Army Corps of Engineers to ensure proper documentation; draft and edit license agreements and documents working with the Real Estate Office to ensure compliant license drafting and final documentation.
Marketing and Communications: strategically plan and develop marketing deliverables to increase awareness and use of forest facilities, grounds, and services associated with the Forest Assets; lead efforts in coordinating with the college's Communications Office on these deliverables, which may include web site maintenance, photography and/or videos, writing, designing and event planning; ensure that all marketing and communications meets university standards; prepare presentations delivered to a wide variety of internal and external stakeholders.
Records Management: develop new processes to track assets for both Forest Assets and College of Natural Resources; work with Real Estate Office, Asset Management, and Insurance and Risk Management on maintaining accurate records and any changes to assets; maintain comprehensive inventory and records of all college vehicles, including compliance of tags, permits and insurance.
Special Projects Coordinator: lead teams in delivery of projects under the scope of the Assistant Dean for Finance and Business; coordinate efforts with strategic partners both in the college and across campus to ensure completion of projects; these non-routine projects may be high-impact and high-profile, such as facility renovations or implementation of new policy.
Bachelor’s degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Excellent organizational skills
Must possess a strong attention to detail and ability to manage time well
Prior experience in academia coordinating meetings, schedules, projects and events.
Experience working both independently and as part of a close-working team in a fast-paced setting requiring initiative, strong organization, flexibility, and the prioritization of multiple demands.
Experience drafting and formatting standard office communications and a variety of other written materials.
Proficiency with Microsoft Office Suite or similar software, particularly Microsoft Word and Excel.
