Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Administrative Coordinator for the Writing Program, School of Arts and Sciences-Newark (SASN). Reporting to the Director, Writing Program, School of Arts and Sciences-Newark (SASN). The Administrative Coordinator provides administrative support to faculty, staff, and students of the Program. Assists Director, faculty, and staff with coordination and administration of academic and all other activities of the Program. The duties of the position includes but not limited to; -Manages general inquiries; maintains and updates websites, social media, and databases. -Prepares and processes payroll appointments and transactions -Prepares business expense reimbursements. -Responsible for managing day-to-day administrative operations of the Program and all of its activities. -Initial point of contact for the Program, interacting extensively with the University community, students and prospective students, and external stakeholders, ensuring a welcoming and responsive environment. -Provides information and assistance to students, which requires knowledge of curriculum, and other requirements and processes. -Provides timely and accurate information in response to requests and on the policies and process of the Program, SASN, Rutgers University-Newark (RU-N), the Rutgers University (RU) system, and external stakeholders. -Carries out routine and semi-routine work within parameters for the Program and under general supervision. -Performs professional work that requires knowledge of general administrative and office management practices, as well as specific knowledge of University policies and procedures.
Minimum Education and Experience:
-A Bachelor's degree and experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and/or data collection and report writing. -Also requires a minimum of two years relevant experience in an administrative function, good communication skills, and computer literacy.
Required Knowledge, Skills, and Abilities:
-Requires excellent oral and written communication skills, the ability to handle and prioritize multiple tasks, and to interact successfully with a wide range of individuals at all levels of the University community. -Knowledge of general administrative and office management practices, as well as specific knowledge of University policies and procedures. -Must be able to maintain professional demeanor and multitask in a fast-paced, customer service-focused environment and complete work with an understanding of the mission, vision, role, and goals of the Department, SASN, and RU-N, and the role the tasks and responsibilities of this position play in the achievement of these goals.
Position regularly uses MS Office Suite, Cornerstone, SASN appointments system, ROCS, HCM, SSC, RAPSS, ECRT, Course Scheduling System, Infosilem, E-Verify, Grad Portal, ACCUPLACER, CARS, REGIS, SOAR, Blackboard, Course Analysis System, Sakai, Canvas, and knows or will learn any and all systems RU uses for expense reimbursement, absence reporting, time keeping, personnel appointments, parking, telephones, payroll, grant submission, recruitment, testing, orientation, student support, course scheduling, facilities and space scheduling and management, event management, website and social media maintenance and updates, and ffectively utilizes and/or will learn all equipment, software, and specialized materials needed to support the effective and efficient performance of this position.
Physical Demands and Work Environment:
Must be able to work occasional evenings and weekends. Individual should have the ability to move and/or lift items weighing up to 30 pounds. Fast-paced, service-focused environment requiring the ability to multitask several projects and priorities at the same time and balance the needs of multiple Program activities and stakeholders, while ensuring a welcoming and responsive environment.
