The Records and Registration Office within the Division of the Senior Vice President and Provost of Academic Affairsat Iowa State University is seeking applications for a Records Analyst I.
The Record Analyst I will support the Scheduling and Fees area within the Office of the Registrar; enter distance education (DE) courses and sections on the Registrarâs course offering system; and process DE registrations, collaborating with each collegeâs DE office to facilitate DE registrations and resolve registration and fee assessment issues/problems as they arise.
The Records Analyst will create temporary records for new DE students; follow up to ensure that admission notices are subsequently received and entered for new students; review and process reentries; create permanent record (PR) notations for new students; process withdrawals; process on-campus schedule changes as needed; and calculate and apply refunds based on the tuition and mandatory fees schedule and refund guidelines.
The Records Analyst will review and audit tuition and mandatory fee assessments; respond to tuition and fee inquiries from students, advisers, faculty and the public; monitor the coding and assessment of delivery fees and special course fees; apply credits or adjustments to delivery and special course fees as appropriate. In addition, this position will process student registrations and schedule changes on a daily basis ensuring the highest level of customer service and accuracy as possible. Finally, this position will assist with catalog processing as needed; and assist with the line up of student graduates for the university commencement ceremonies.
The successful candidates must be able to perform mathematical calculations (addition, subtraction, and calculate a percentage of a number) accurately; work independently; provide a high level of customer service; and multi-task in a high traffic work space.
Under general supervision, analyzes student admission applications, establishes transfer course credits, and performs graduation analyses based upon written and interpreted collegiate policy, coordinating these decisions with faculty and/or administrative offices. May provide functional supervision. Duties may involve the use of personal computers, computer terminals, and a variety of software and/or conventional office equipment.
Characteristic Duties and Responsibilities
â¢ Supervises and participates in the analysis of student academic records, screens student admissions, resolving current registration problems, or determining eligibility for graduation based upon written and interpreted collegiate policy.
â¢ Maintains computer files and compiles lists and other data for periodic and special reports.
â¢ Maintains regular and recurring contact with the office of the collegiate deans and departmental executives relative to student academic records.
â¢ Makes decisions regarding student records based upon written and interpreted collegiate policy.
â¢ Consults with and advises students concerning their academic problems; receives and answers inquiries by mail and by telephone.
â¢ Performs basic data studies as requested by an administrator.
â¢ Assigns, coordinates, and reviews the work of other clerical personnel for conformance to established guidelines.
â¢ Reviews current procedures within area of assignment and recommends procedural changes as required.
