The Coordinator will act as the primary point of contact for the student work-study program and will coordinate all work-study positions and placement of students while ensuring compliance with federal, state and institutional policies and regulation. Programs to be included are the Federal and State Work-Study Programs, Federal and State Community Service Programs, State Mentor Program and Intern2Learn Program. This position will report to the Career Services department with a dotted line to the Executive Director of Financial Aid in an effort to adhere to stringent federal and state reporting guidelines while developing student employees to enhance their marketable skills and employability. This position will work closely with the Job Locator and Development Coordinator to recruit student employees and develop new community service employers. The Coordinator will collaborate with on and off-campus supervisors for workplace etiquette training needs and overall professional development.
Responsibilities: 50% Program Facilitation â—Â Â Â Manages student work-study eligibility and awarding process â—Â Â Â Utilizes BANNER and Canopy to reconcile account/payroll and maintain accurate data tracking â—Â Â Â Monitors student payroll hours and coordinates with employers to ensure students do not exceed work-study limits â—Â Â Â Amends payroll transactions through Workday for work-study student employees â—Â Â Â Manages the non-need based Intern2Learn fundingÂ â—Â Â Â Coordinates with Business Services to set up billing processes for external employers â—Â Â Â Ensures student employees have completed timesheets each pay period
30% Campus & Community Liaison â—Â Â Â Collaborate with faculty/staff to increase employment opportunities for students by acting as a point of contact for work-study positions on- campus â—Â Â Â Work with on and off-campus supervisors/departments onboarding and termination phases for work-study employees
â—Â Â Work in close collaboration with respective supervisors and Employee Services during the employee life cycle to support human resources processes from hiring to changing positions and termination.
â—Â Â Assist with efforts to increase the utilization of the student employment system to post on-campus employment opportunities and maximize connections between departments and Tarleton State students.
â—Â Â Â Develop annual orientation to Intern2Learn supervisors/employers â—Â Â Â Track and communicate deadlines and program updates to Intern2Learn students regarding e-portfolio, ALE requirements and other related items. â—Â Â Â Assist student employees with the paperwork associated with work-study programs â—Â Â Â Recruit and manage off-campus employers contracts and determines program eligibility of external employer â—Â Â Â Work with JLD Coordinator to develop new community service employers â—Â Â Â Coordinate student employee programming on career coaching items such as resume assistance, professionalism, interviewing, online presence, through class presentations, one-on-one appointments, groups, workshops, guest speakers, and other related items. â—Â Â Â Coach student employees (individually and group) both on and off-campus on professional etiquette and workplace expectations through class presentations, one-on-one appointments, videos, webinars, groups, workshops, guest speakers, and other related items. â—Â Â Â Collaborate with site supervisors for the training needs of student employees â—Â Â Â Coordinate with other team members who share similar responsibilities for maximum service delivery to students and employers â—Â Â Â Coordinate with Marketing and Outreach Coordinator to develop promotional items and events that professionally prepare students for the world of work
15% Leadership/Administrative/Support â—Â Â Â Works closely with Financial Aid to track and supply information for state FADS and federal FISAP reporting needs â—Â Â Â Attend administrative staff meetings on and off-campus, as well as conferences and workshops regarding Federal and State Work-Study Programs, Federal and State Community Service Programs, State Mentor Program, campus internship program and career planning as funds are available â—Â Â Â Assist Career Services director and other team members with special projects
5% Other â—Â Â Â Perform other duties as assigned by the supervisor
Â Â Â Â Â Required Education and Experience:
Bachelorâ™s degree or equivalent combination of education and experience. Three years of work experience in university Financial Aid environment, Student Employment, Career Services or comparable setting. Â
Required Knowledge, Skills and Abilities:
Demonstrated exceptional organizational, written and public speaking skills. Exhibits a motivated/enthusiastic positive work style. Ability to exercise independent judgment, exceptional time management skills, work independently and in a team environment. Â Ability to work some non-traditional work hours including evenings or weekends. Â Must be able to travel to multiple work site locations.
Preferred Education and Experience:
Masterâ™s degree. 5 or more years of experience in financial aid, student employment, career development, or career coaching in higher education. Â
