The Operations Manager position is part of the Office of Institutional Equity at Vanderbilt University and a key individual contributor responsible for the day-to-day operations of project planning and data system management, as well as coordinating finance functions and human capital management, including serving as a Financial Unit Manager (FUM) and Human Capital Manager (HCM) Specialist in the Oracle Cloud administrative system. This position identifies and implements best practices in process improvement, workflow optimization, and data tracking across the offices reporting to the Associate Vice Chancellor for Institutional Equity. The Operations Manager interacts regularly with staff in the offices within Institutional Equity and with other FUM's and HCM's across campus. The Operations Manager works closely with the Associate Vice Chancellor, ensuring policies and procedures are followed and in place.
The Operations Manager participates in yearly budgetary preparation along with closely monitoring all expenditures for Institutional Equity and report findings that occur as part of the analysis process to the Associate Vice Chancellor.
The Title IX Office cultivates a safer, inclusive learning, living, and working environment through prevention, education, and outreach efforts; provides strong reporting and investigative channels for sexual misconduct; and reviews and evaluates the effectiveness of these efforts.
Duties and Responsibilities
Financial Unit Manager (FUM)
Ensure departmental transactions are recorded accurately and are compliant with universitypolicy.
Monitor spending with budget reporting
Review departmental staff and vendor expenses.
Oversee OGC requisitions and purchase orders.
Enter updated budget information into PBCS when required by Finance.
Create and enter new vendors when needed in the Oracle system.
Supply quarterly reports to Chief of Staff and Legal Operations
Human Capital Management
Liaison between the Institutional Equity and the Human Resource Department
Review costing detail within Institutional Equity
Maintain records of all electronics including computers, monitors, copiers, printers.
Communicate with VUIT regarding lifecycle of equipment and timely replacements.
Coordinate software updates with staff and VUIT.
This position supervises the Administrative Assistant.
