Essential Functions: Perform various general office, clerical and/or secretarial duties of a routine nature in support of an assigned academic or administrative unit in a School, College, Division or Center/Institute at the University.TYPING. Perform typing in support of an assigned academic or administrative unit. Type grant proposals, abstracts, manuscripts, course materials, correspondence and University forms. Compose straightforward correspondence from specific instructions.REPORTING. Maintain, modify and update records for assigned area. Generate reports and spreadsheets with the use of appropriate software. Compile and calculate data concerning unit activities and personnel.SCHEDULING. Schedule appointments and meetings, take messages and reserve rooms for faculty and staff. Make travel arrangements and provide itinerary for clients, guests and visitors.FINANCIAL FORMS AND PROCESSING. Prepare and process billings, track requisitions and receive and post payments. Perform basic bookkeeping duties using University financial accounting and billing systems. OFFICE COORDINATION. Organize and monitor flow of proposals, correspondence, applications and manuscripts through assigned office. May distribute and review work of other clerical staff.
Qualifications: EDUCATION. High school completion (or GED)EXPERIENCEMinimum 1 year of general office, clerical or secretarial experience, including experience operating standard office equipment (FAX, copier, personal computer, electronic calendar) and using software for data entry, storage, retrieval, and reporting.COMPETENCIES REQUIREDTyping Skills - Ability to type with speed and accuracy (40 wpm). Ability to take notes and convert information to manuscript format (transcription skills).Communications Skills - Good command of the English language (both oral and written). Ability to understand and provide instructions and to communicate effectively with customers. Computer Skills - Can create and modify reports and spreadsheets by using Microsoft Office (Word, Excel, Powerpoint) or other appropriate software. Data Analysis Skills - Ability to enter and verify data for accuracy and speed. Ability to perform basic bookkeeping duties.Organizing Skills - Ability to work under pressure with tight deadlines. Ability to prioritize office workload and work cooperatively with others. Strong time management skills.
