The Institute of International Economic Law (IIEL} is the focal point for the study of international economic law at Georgetown. IIEl's faculty include scholars and practitioners at the forefront of all areas of international economic law including trade, investment and financial regulation, tax, business and monetary law. IIEL administers a robust programming calendar with programs geared toward both students and professionals alike.
Reporting to the Director of the Institute, the Program Associate is a critical team member, working closely with the entire IIEL team to facilitate the smooth functioning of all II EL programs and activities. S/he manages all administrative and financial activities required for the effective and efficient administration of IIEL events, communications, policies and procedures. The incumbent is a critical, frontline staff position for which a customer service mindset is key. Providing administrative support such as all fundraising, office management, event and communications initiatives, the Program Associate has additional duties that include but are not limited to:
Manages the department's financial transactions, including processing reimbursements and invoices, reconciling IIEL Pro Cards and monthly budget records, and supporting the annual IIEL budget request and approval process.
Coordinates administrative aspects of all grants and fundraising initiatives.
Facilitates smooth office functions, including IIEL Human Resources and payroll activities, departmental supplies, and maintenance.
Event, Logistical, & ?Institute Communications Support
Assists in the logistical organization of IIEL programs and events (both professional/external and student -focused), including reserving space, handling 1ST and catering needs, RSVPs, advertising and other logistics.
Assists in IIEL communications, including the maintenance of IIEL's website(s), contact database, and social media engagement.
Issues speaker invitations and related follow-up, in support of all II EL programs and events.
Provides supplemental support to the Journal of International Economic Law (JIEL), as needed.
Monitors IIEL's institutional phone and email accounts, providing timely and professional responses to all communications therein and/or forwarding the communications to senior team members for further disposition.
Office Management Support
Attends monthly Centers and Institutes meetings, and provides written report to IIEL team members.
Takes team notes at IIEL staff and other relevant Georgetown Law meetings.
Maintains hard copy and electronic official IIEL program and events files.
Performs other duties as assigned.
Requirements and Qualifications
Prior administrative experience, preferably in a higher education setting
Experience with managing financial records and budgets, and with project administration, event and travel planning
Ability and flexibility to work mornings and evenings as needed for events
Experience with supporting smooth office functions ( ordering supplies, coordinating maintenance of facilities, etc.)
Effective team player with strong problem-solving skills & a customer service orientation
Preference for candidate with international and/or multicultural experience/exposure
Comfortable interacting with internal colleagues and external constituents, donors, program participants and VIPs
Excellent communication skills (interpersonal, written and verbal)
