To provide routine clerical skills in the performance of office tasks routine in nature and covered by established policies and procedures. Responsible for routine secretarial and clerical assignments. Regular office conditions, exposure to office machines, phones, fax, etc. Specific job requirements or physical location of some positions allocated to this classification, may render the position security sensitive, and thereby subject to the provisions of Section 51.215 Texas Education Code.
Position should include a large percentage of the following duties but is not required to include all referenced duties: Answers telephones, routes calls and visitors, makes appointments and answers routine questions from students and other departments. Assists in determining work priority. Engages in various record keeping, posting, filing, and sorting. Type's letters, memos, reports, purchase orders and other material from notes or rough drafts requiring the knowledge of subject matter and/or departmental procedures and practices. Proofreads final product for correct grammar, punctuation, and spelling. Searches for and compiles pertinent material from files as requested by supervisors. Organizes and maintains filing systems and posts bookkeeping information. Assists in regular and late registration process. Establishes personnel files for new employees and ensures their completeness. Handles course adjustments such as add/drops and grade changes. Usually performs duties for a sub-division or a unit of a total department or is responsible for work generated by many faculty or administrators within a department. Performs other duties as assigned.
High School diploma. Six months of secretarial experience. Knowledge of personal computer and other standard office equipment. Experience with multi-line phone.
Some college. Excellent communication skills and customer service experience. Experience with MS office suite and PeopleSoft (MyMav). Secretarial/administrative-type experience in a large academic department or business.
