Rutgers, The State University of New Jersey is seeking a Program Coordinator for the department of Obstetrics, Gynecology & Reproductive Sciences of the Robert Wood Johnson Medical School.
The Program Coordinator will be responsible for administration, budget, operations, and personnel supervision for the Family Planning Division of the Department of Obstetrics and Gynecology and Reproductive Sciences. This position provides leadership and oversight for all aspects of daily operations in the Family Planning clinic by ensuring standard operating procedures of all clinic operations are established and adhered to, and that tasks are performed in an accurate, safe and timely manner. The incumbent will have responsibilities in all aspects of the clinic, including administration, operational, patient intake and referrals and insurance eligibility, strategic planning, and implementation of business and marketing plans. S/he will be the primary patient contact for phone intake and triage, manage the medical records, prescreen patients for insurance eligibilities, and obtain authorizations, as necessary. S/he will maintain clerical supplies and printed forms, maintain systems for handling supplies and managing equipment, arrange and follow-up on special maintenance issues, and maintain detailed financial records, and will participate in decisions regarding the future goals of the program. S/he will manage the oversight of all clinical training initiatives for residents, students, and other trainees. Adheres to annual reporting requirements and budget management for the Ryan grant.
Among the key duties of this position are the following:
Develop and maintain statistical activities and trend records such as number of visits, facility utilization, numbers and types of referrals, and other documentation and/or reports that are required by the Grant.
Reviews, analyzes and develops recommendations for changes in paperwork, information flow, communications and/or patient flow to optimize operations.
Assures adherence to departmental policies for authorization and approval of purchases.
Manages the scheduling of appointments and referrals in order to ensure high quality support services are provided to physicians and patients, to ensure a steady patient flow and productive patient/physician facility relationships.
Coordinates with the office manager the supervision of the medical front office staff involved in patient care, appointment scheduling and registration and billing under the Ryan Grant.
Minimum Education and Experience:
Bachelor's Degree in a health-related field or equivalent education, experience, and/or training may be substituted for the educational requirements.
Required Knowledge, Skills, and Abilities:
Ability to work independently and exercise excellent judgment.
Demonstrated knowledge of medical billing and community outreach practices.
Superior organizational skills.
Written and oral English language skills.
Ability to work cooperatively as a team member in multicultural settings.
Computer skills including Word and Excel.
Ability to assist in transporting patients.
At least 3 years of experience in women's health experience.
