The Assistant Registrar serves as daily operations manager of the Registrar's Office and is back-up to the Registrar. As such, the position holder will be in direct contact with students, faculty, administration and other individuals or organizations working with the office. The Assistant Registrar is a working manager, responsible for all aspects of degree audit, record management and office communication. Responsibilities include handling all record and curriculum maintenance, graduation eligibility monitoring, Graduate degree auditing, attendance reporting, and special populations' registration processing. A key responsibility of this position holder includes the maintenance and communication of academic changes to university policy, curriculum and student records. Additional responsibilities include maintenance of the student database system. This position is responsible for supporting all registration events at both on- and off-campus events.
The Assistant Registrar will support the coordination, development, and implementation of all student services of the Registrar's Office, including training first point of contact staff in problem solving and resolution. The Assistant Registrar works under the direction of the Registrar and supports the efforts of the entire Enrollment & Retention Management Division
In this role, the incumbent is responsible for:
Maintaining, monitoring, and communicating graduation eligibility
Auditing the academic records of Graduate students applying for graduation
Maintaining Academic Catalog & Calendar by updating all academic program requirements, curriculum & publications.
Process student record change requests to ensure appropriate & efficient response including; substitution/waivers, change of majors, academic record disputes, transcript & enrollment verification requests.
Execute attendance reporting, evaluation and resolution two times per semester.
Review and process registration and record updates for special populations: Consortium, Seton Hall Nursing Program, Certificate of Equivalencies and other dual enrollment programs.
Staff development and training for the team in the area of student services, including supervising student services staff and student workers.
Create, maintain and perform student and advisor/faculty trainings for registrar services.
This position holder will be responsible to manage resolution of student issues and student academic record disputes.
Learn the operational tasks of all areas of the Registrar's office to be able to perform in absence of the Registrar.
Other anticipated responsibilities:
Work with the Information Technology Team to test maintain and implement software, new releases and train students, staff and faculty as appropriate on data access and usage of Powercampus SIS, Courseleaf, Parchment, and others.
Participate in Curriculum Committee meetings to address curricular questions in relation to degree awarding and system limitations.
Coordinate and attend on-campus and off-campus registration, enrollment & orientation events.
Preparing, maintaining, and distributing a series of activity reports designed to keep key Georgian Court University personnel up-to-date on the status of registrations based on student type.
Understanding, applying, maintaining and ensuring all student information is accurate and complete and in compliance with mandatory University, state and federal policies regarding data and the recruitment and admission of students, such as FERPA, ADA and more.
Maintaining knowledge of university curriculum, rules, regulations, and guidelines applicable to students.
Representing the office on a variety of University committees.
Integrating the core values of respect, compassion, integrity, justice and service in all aspects of interaction.

The minimum qualifications for this position are:
Bachelor's degree from an accredited college or university
4+ years of experience in records management or higher education.
Valid driver's license and ability and willingness to travel locally and in state.
Expertise working in Student Information Systems to maintain data integrity, preferably Powercampus.
Solution seeking ability to read and comprehend technical manuals of software.
Superior listening, communication, interpersonal and relationship-building skills with the ability to communicate clearly in person and writing.
The preferred but not required qualifications for this position are:
Experience with PowerCampus or Ellucian Systems
Experience using student information systems, customer relationship management (CRM) systems and communication technologies
