The Division of Pediatric and Adolescent Comparative Effectiveness Research (PACER) is seeking a Research Operations Manager. This position is responsible for strategic and planned operational management in the conduct and implementation of multiple Center research and educational programs and efforts. The Research Operations Manager will provide operational management, oversight, and guidance for programs and projects primarily directed by the Center Director and selected faculty. This position requires collaborating with university faculty, principal investigators and co-investigators to manage both research and educational programs and includes conducting program-specific quality improvement and enhanced program and project design. Additionally, the manager will oversee training and supervising staff, approve timesheets, provide fiscal management for research projects and programs, directly manage all administrative program requirements to ensure continued and future funding, develop standard operating procedures, and oversee vendor negotiations and contracts.
Primary Responsibilities Include:
Research Project Management - Development, Implementation, Evaluation, and Reporting
Establish standard operating procedures (SOPs) for all research and educational projects and programs. Monitor and guide research project teams to ensure efficient daily operations and program adherence to SOPs, grant sponsor requests, IRB requirements, and university policies. To this end, the role will require establishing SOPs for the research program. SOPs will likely be related to, for example, new team member onboarding, research data quality review, study participant recruitment efforts, and supplies/equipment requests.
Design research projects and train project staff to implement project missions. Conduct surveys and qualitative interviews with study participants. This includes developing strategies for sample recruitment and retention, creating surveys, as well as conducting qualitative interviews and analyzing qualitative data.
Complete regulatory proposals for all human subjects research projects. Compose and submit continuing review, amendments, and/or close-out information as necessary. Oversee that projects and staff remain compliant with SOPs, institutional policies, human subject's regulations, and Good Clinical Practice. Document and report all protocol deviations. Monitor and address potential and reported HIPAA violations involving research staff members. Ensure that study teams maintain consistent and accurate participant data documentation and storage for reporting purposes.
Communicate with institution-approved vendors, review vendors' Scopes of Work, and review invoices for accuracy. Work alongside Center business manager to ensure vendors' contracts are processed by IU Purchasing and that they are paid on time using the appropriate project funding accounts. Communicate with the IU Privacy Officer to establish Data Use Agreements with the Center and vendor, if necessary. Ensure that vendor contracts and purchases fall within study budget. Order project supplies necessary to support the staff and project goals.
Write and submit quarterly, semi-annually, and annual progress reports for funding institutions. Assist in writing, editing, and submitting scholarly articles for publication in academic journals, grant proposals, and project protocols.
Educational Programs Management
Directly responsible for the day-to-day operations of Center-related educational programs. Manage administrative tasks and logistics to maintain the overall integrity of the programs. Serve as a liaison between the Center Director and executive committee members, faculty, and staff.
Identify and recruit eligible faculty for enrollment into Center educational programs. Review applications for eligibility and completion for each application cycle.
Plan and schedule lecture series, seminars, workshops, and didactic coursework for all enrolled faculty scholars. Communicate with scholar mentors, guest lecturers, and university teaching faculty to ensure that all didactic activities are scheduled and completed in a timely manner to ensure that educational programs meet funders' timelines and program requirements. Develop, collect, and review evaluation forms for all didactic coursework. Communicate significant review findings to Center Director.
Develop and compile performance evaluation forms from both program scholars and their mentors. Communicate the results of all evaluations to the Center Director and incorporate findings into annual progress reports for funders.
Contribute to the write-up of annual program progress reports for funders. Collect and present program evaluation data in an annual report to the educational executive committee members to review program metrics, scholar progress, feedback on mentors, and the recruitment of diverse scholars.
Supervision and Leadership
Provide first-line problem solving for program/project operations and staff. Provide direction to research staff in order to solve complex problems, meet project milestones, and troubleshoot potential barriers to project success. This may require reassigning tasks and allocating resources appropriately among staff. This may also require assisting research project leads to develop/draft study protocols, participant tracking systems, informed consent forms, and other project-specific documentation. Lead meetings to help identify and solve program and staff issues and exercise good judgment regarding when to involve faculty in decision making.
Communicate with faculty concerning project progress, potential budgetary or personnel issues, or adverse research events. Establish working relationships with Center administrators in Pediatrics and Obstetrics to assist faculty and staff with navigating differences in Center policies and procedures.
Assist supervisor with interviewing and hiring staff, reviewing staff performance, and assigning workload. Schedule study-related meetings and training sessions. Instruct study team on specific study assignments. Responsible for the quality and compliance of staff data entry. Ensure the timely completion of all tasks. Develop solutions to improve recruitment and data entry. Orient and train all newly hired staff. Track and record completion of all research and hospital compliance procedures, including CITI training, hospital credentialing, immunizations, and liability forms. Manage staff schedules; review and approve bi-weekly timesheets.
Bachelor's degree in the social behavioral sciences or a health-related field and three years of experience in research with human subjects.
Combinations of education and related experience may be considered.
Ability to effectively communicate and exchange information, including ability to navigate and translate a variety of working and communication styles among program members. Ability to work and problem solve independently. Ability to maintain a keen attention to detail, particularly in regards to data collection and integrity.
Master's degree in psychology, public health, business, or a comparable field. Two years of research experience is highly preferred. Research background and experiences working with justice agencies and community mental health providers. Proficient with statistical programs (such as SPSS, STATA, R), survey/data collection tools (Qualtrics, Redcap). Proficiency with qualitative data collection and analysis program such as NVivo, Atlas or a comparable qualitative data management program.
