Job Description Summary The Executive Assistant provides efficient, effective and at times confidential administrative support to the Vice President for University Advancement and the General Counsel. This position is responsible for interfacing with other university departments, facilitating the Vice President's activities, managing the administrative workflow within the office, and interacting frequently with the President's Office.
This position works closely with the VPs on a wide variety of administrative matters across both of their areas of responsibility. Essential functions include:
Scheduling/Events - Monitor the Vice Presidents' appointment schedule to ensure that it allows for adequate time for interaction with direct reports and various constituencies across the campus.
Provide administrative support to the General Counsel including document preparation, record-keeping and meeting management, all requiring a high level of confidentiality.
Provides administrative support to the Board of Trustees, including scheduling, meeting management and set up, communications, maintaining board records, and responding to trustee requests.
BA/BS degree plus 2-3 years of progressively responsible executive support experience; or Associate's degree plus 5-7 years of progressively responsible professional executive /administrative experience.
Experience in a fast paced environment, preferably in higher education administration supporting senior staff member.
Advanced proficiency in Microsoft Word, Excel and PowerPoint.
Previous experience managing budgets and operational resources is necessary.
Demonstrated ability to relate to individuals at all levels with poise and diplomacy; ability to triage and set priorities, perform multiple tasks simultaneously, maintain confidentiality of sensitive and confidential information, meet tight deadlines, and work under pressure.
Demonstrated ability to take initiative, organize, prioritize and manage conflicting goals and agendas. Dedicated team player with strong customer service orientation.
Strong written and verbal communications skills
Experience in a legal office, Advancement program, or c-suite setting.
Fund-raising software user experience helpful.
Typical office setting with extensive sitting and computer work
