Under the supervision of the Department Chair, the Administrative Associate V will be responsible for the day-to-day office duties and provides highly advanced administrative support.
This position typically works Monday-Friday; 8 a.m.-5 p.m.. May work beyond normal office hours to include evenings, weekends, and peak times when necessary.
Coordinate daily office support activities and administrative interactions. Assist in the coordination of daily workflow and the resolution of complex, highly sensitive and confidential matters. Provide organizational planning and problem solving skills.
Maintain a variety of fiscal, administrative, and academic records. Verify, processes, and reviews forms, reports, tables, and other documents. Perform special analyses and project summaries.
Type, file, answer phones, schedule meetings, provide customer service to students, faculty and staff.
Maintain personnel files and records, screen calls and take messages, handle correspondence and prepare reports.
Assist faculty with their academic responsibilities, inventory control, coordinate and prepare university and accreditation compliance documentation.
Manager department communications using various communication/ media mechanisms.
Manage and coordinate student workers assigned to the department.
Assist in creating travel requests and vouchers; reconcile travel cards and procurement cards, maintains office equipment and assist in acquiring equipment and supplies.
Assist in the hiring process of various departmental hires.
Provide excellent customer service to students and faculty.
Performs other duties as assigned

Education and Experience:
High school diploma and five years of related experience.
Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications.
Strong organizational skills and time management.
Ability to multitask and work cooperatively with others. Excellent written communication, analytical, interpersonal, and organizational skills. Ability to work in a high stress environment. Ability to work with sensitive information and maintain confidentiality. Ability to work independently once given a project.
Experience in higher education administration
