Essential Job Duties:
The chief of staff and secretary of the university reports directly to NC State's chancellor. In this leadership role, the successful candidate will provide operational and fiscal leadership oversight for the Office of the Chancellor and will have managerial responsibility for four) positions within the office. The chief of staff also serves as the secretary of the university, working closely with the university's Board of Trustees, and as a liaison between the chancellor and members of our university community. The chief of staff and secretary of the university also serves as a member of the chancellor's cabinet.
The chief of staff and secretary of the university will perform the following duties:
Provide operational and fiscal managerial oversight of the Office of the Chancellor and the supervision and performance of staff within the office to include promoting a culture of service excellence, collaboration and engagement within the office.
Under the direction of the chancellor, provide complex and confidential project management in support of the strategic mission of the university, and work with campus leadership as required to oversee the successful completion of complex, high-priority projects that involve the chancellor's office.
Maximize the use of physical, human, fiscal and technical resources of the unit. Closely monitor the performance, service levels and metrics of the office to ensure the quality and timely completion of assignments and projects.
Represent the views of the chancellor with internal and external constituents, including but not limited to students, alumni, friends, the Board of Trustees and local government. Act as a designee in the absence of the chancellor and senior officers.
Respond on behalf of the chancellor to inquiries from and/or issues involving students, faculty, staff, governance committees and members of the public. Coordinate communications and events for the Office of the Chancellor with University Communications and Marketing.
Ensure compliance with applicable university and/or University of North Carolina System policies, as well as federal and state laws.
In collaboration with university leadership, coordinate and develop meeting agendas for the Chancellor's Cabinet, University Council, Administrative Leadership Meeting and the Board of Trustees.
Provide overall support to the university’s Board of Trustees, working directly with and serving as staff officer for both the board and the chancellor.
Perform and provide managerial oversight for high-level operational and administrative functions related to the university's work with the Board of Trustees and its committees including but not limited to:
Serving as the primary contact to facilitate the onboarding process for new board members.
Facilitating trustee engagement and addressing board member questions and concerns.
Formulating and recommending board policies and procedures for board operations to the chancellor and board chair.
Scheduling and giving notice of board meetings.
Developing board meeting and/or retreat agendas in consultation with the chancellor, board chair and other board members and executive officers.
Maintaining board correspondence, minutes and official board records and reports.
Implementing and observing board actions and serving as the liaison with senior administrators who staff board committees.
Develop complex presentation materials and reports, including charts, graphs and other data representations.
Make unit-level strategic, operational, budget and policy revision recommendations to the chancellor.
Manage the process for on-site visits and events for honorary degree recipients.
Serve as the chancellor's liaison with senior university administrators by facilitating the executive officers’ timely response to the needs of the chancellor.
Serve as a member of the Chancellor's Cabinet and serve on committees or task forces as designated by the chancellor.
Perform other relevant duties and special projects as assigned.
Requires a relevant post-Baccalaureate degree with a minimum of three (3) years or greater of related professional experience, or a relevant undergraduate degree and a minimum of five (5) years or greater of relevant experience may be substituted for the advanced degree.

Preference will be given to candidates with experience working within the University of North Carolina System.
