The Wyss Institute for Biologically Inspired Engineering at Harvard University seeks a talented and enthusiastic individual to join our fast-paced and dynamic organization as a Sponsored Projects Coordinator on the Sponsored Projects team. Reporting to the Associate Director of Sponsored Projects Operations and Training, the Coordinator will be responsible for supporting all pre- and post-award functions of the team.
Duties will include, but will not be limited to: sponsored billing management (logging, basic review of invoices for subawards, billing agreements); purchase and travel approval (HCOM, Concur); reconciling accounts; creating journal entries (ADIs); drafting cost transfer requests; preparing payroll changes; drafting PI rights petitions; gathering audit documentation; managing andorganizing sponsored files according to record retention policies; entering reports in GMAS; and assisting with aspects of proposal preparation. Additionally, this position may assist with administrative tasks, such as the scheduling of team meetings and agenda preparation. Possibility of eventual award/small portfolio management.
This position will work collaboratively with other functional areas of the Wyss Institute (e.g., Procurement, Finance, Communications) to problem solve and ensure smooth operations. Will also work with the Office for Sponsored Programs (OSP) on award closeouts. May occasionally work with PIs, lab members and faculty assistants.

Three or more years of administrative, finance or related areas. Education may count toward years of experience.
Bachelor's degree preferred. The ideal candidate will be organized, detail-oriented, and capable of prioritizing work. A desire to problem-solve, take initiative and identify operational solutions for the team is key. Excellent written and oral communication skills also required.
Intermediate skills in Microsoft programs (Excel, Word, and Outlook) are required; experience with Microsoft Teams, Planner and other organizational tools are a plus. Flexibility and a mindset of working with a team in an entrepreneurial setting to get things done is very important.
Experience with Harvard systems and chart of accounts, Uniform Guidance, Federal Acquisition Regulations and federal sponsors in general (e.g., NIH, DOD, NSF) are pluses, but are not required.
