Rutgers, The State University of New Jersey is seeking a Staff Assistant for the Department of Obstetrics, Gynecology and Reproductive Sciences (OB/GYN) at the Rutgers Robert Wood Johnson Medical School.
The Staff Assistant performs a wide variety of administrative and support services within the OB Department, including coordination of Grand Rounds, various department meetings and overall office operations under the supervision of the Program Administrator.
Among the key duties of this position are the following:
Responsible for providing administrative and staff support for the department. Communicates, prepares and executes assignments and tasks requiring information gathering, data entry/retrieval, and database maintenance.
Receives and appropriately handles incoming correspondence, schedules and prepares various department meetings, and responds to inquiries.
Maintains essential records and assists in the maintenance of all activity files.
Assists with all aspects of administrative support for the Grand Rounds program, including arranging presentation schedules, room reservation and set up, contacting speakers, maintaining files, sending announcements to inform clinical staff of upcoming presentations and taking, maintaining and tracking of attendance records.
Assists in submission of purchase requisitions, and serves as liaison between the department and other administrative units such as Purchasing, Accounts Payable, and Information Services and Technology.
Assists with tracking of office supply inventory and office equipment supplies and maintenance.
Provides organizational assistance for clerkship program as needed, including co-proctoring exams and preparing orientation materials.
Minimum Education and Experience:
Bachelor's Degree in Liberal Arts, Public or Business Administration, the Social Sciences or related field.
At least two years of professional level experience in business office, government agency, or university setting.
Equivalent experience, education and/or training may be substituted for the educational requirements.
Required Knowledge, Skills, and Abilities:
Competent in MS Word, Excel, and PowerPoint.
