Central Database, Documentation and Process Management for DOM Training Grants (60%) • Design and set up a database repository and reporting tool for T32 PI and trainee table data. • Gather Medicine division and department level data as well as external department data. Populate, update and maintain current grant submission and award database content per established internal and external deadlines. • Set internal schedule and submission deadlines for division personnel to submit data. Track and report compliance. • Make information, data and reports available to end users through standard and ad hoc reports, summaries, website, etc. • Create and maintain resources, communications and website content needed for T32 pre and post-award coordination and management. • Facilitate Statement of Appointment completion through xTRAIN process. Track and report status and follow up on termination notices. • Provide instruction on xTRACT in the NIH system for table completion.
Large grant submissions (e.g. P01, P30, etc.) (15%) • Lead coordinator for the submission of large program projects or Center grants. • Develop budgets for all projects and cores, making sure to adhere to sponsor guidelines and limits. • Manage, maintain and make readily available descriptions of UMN facilities/ ISO’s, libraries, institutes/centers, etc. that are applicable to the health sciences.
Liaison & Communications (10%) • Develop strong relationships, communicate effectively and work collaboratively with all levels of grant, education and finance administration staff and faculty within the Medicine divisions and department, Medical School and across other University of Minnesota collegiate research offices and with other peer Medical Schools. • Research and promote best practices throughout the Medicine divisions and department and make continuous improvements to T32 grant administrative processes and tools. • Represent the department at Medical School level meetings and events, national conferences or other University events. • Provide and monitor research office website content for the DOM Research Page and Intranet.
Departmental Metrics and Data Analysis (10%) • Develop and maintain information on internal Investment awards (e.g. AIRP) • Monitor research space data on funding per square foot • Prepare reports for leadership on our departmental research portfolio data
Pre-award Grant Coordination (5%) • Assist as needed with the pre-award process for grants being submitted by the Department of Medicine.
Required qualifications: (Must be documented on application materials) BS/BA degree plus at least four years of experience, or a combination of education and experience to equal at least eight years. Experience in pre- and/or post-award grants/contracts administration, preferably in an academic health sciences or central sponsored projects administration environment. Database management experience including creation, data gathering and analysis, and querying and generation of ad hoc reports and presentations. Experience managing program and project requirements and compliance in a deadline driven environment. Experience establishing new processes and procedures while working in collaboration with varying levels of the organization. Demonstrated advanced level of experience with Microsoft Office software including spreadsheet and database applications. Proficiency with Google and website tools and/or other similar tools and processes. Experience planning, coordinating, and supporting events, conferences, workshops, meetings, etc.
Preferred qualifications: Experience with University of Minnesota EFS reporting and accounting system.
