Supervision Received: Reports to the Vice President of Institutional Advancement.
Supervision Exercised: Supervises the Staff Assistant (Alumni Services), Administrative Assistant II (Alumni Relations), Senior Coordinator (Annual Fund), student interns, graduate assistants and other personnel as assigned. Salary: $60,000.00-65,000.00 (Salary to commensurate w/experience)
General Statement of Duties: The Associate Director of Alumni Relations and Annual Fund will have the responsibility for the engaging development, maintaining and enhancing of relations between Westfield State and its graduates in order to build greater alumni engagement, fundraising opportunities and financial support for the institution. Duties and Responsibilities: Duties include but not limited to: Essential:
Oversight of all alumni communications including social media and all online presences, Alumni section/news and notes in FOCUS magazine, electronic newsletters, interactive databases, and multimedia Web exclusive features.
Oversight of all reunion activities including Homecoming Weekend, any alumni-related programming, multi-year events, and other reunion gatherings.
Oversight of Lifetime Owls alumni, parent and student programs.
Oversight of focused Alumni Chapters statewide, regionally, and nationally, and assistance with coordination of activities and communications.
Seeks out opportunities to enhance University presence through all forms of alumni engagement, and works closely with Institutional Advancement team to assist in coordinating successful fundraising efforts, where appropriate.
Direct responsibility for meeting fundraising goals as determined by the Vice President of Institutional Advancement.
Works in conjunction with development officers to manage solicitations associated with the Reunion Giving Program.
Work closely with Advancement Services on alumni donor and prospect-related profiling, briefings, action plans, visitations, and the appropriate documentation of efforts.
Responsible for oversight of Annual Fund, working with appropriate staff to coordinate successful solicitation of annual fund prospects through phone, direct mail and online solicitations
Work with Vice President of Institutional Advancement to establish appropriate annual fund goals and share with major gift officers individual opportunities that have the potential for further development
Responsible for oversight of alumni scholarship fund.
Management of the Westfield State Alumni Association (WSAA) Executive Council.
Coordination of annual training and elections.
Coordination of Alumni Summer Retreat.
Assistance with Executive Council meetings, minutes and communication.
Attend and oversee WSAA meetings, and collaborate with the Council's executive committee on any and all pertinent issues, including special events, etc.
Alumni staff liaison with the following Alumni Association Committees:Fundraising, Marketing and Scholarship, Awards and Recognition.
Oversight of Alumni Trustee recruitment and selection process.
Serves as the liaison between the Alumni Trustee, the Westfield State Alumni Association Council, the Representative to the Westfield State Foundation and the Office of Alumni Relations, providing support and communication of key alumni issues, strategic priorities and programs.
Engage with academic departments, ahtletics and other campus organizations to increase presence and recognition of alumni on campus through classroom visits, appropriate activities and events. These may include, but not be limited to: Alumni Lifetime Owls, Reunion Events, Homecoming, Distinguished Alumni Awards, Criminal Justice Hall of Fame, Retired Educators program, Florida events and other activities.
Budgetary oversight and responsibility of Alumni Relations University budget.
Assist with development and implementation of annual divisional budgets.
Attendance at Foundation board meetings, Board of Trustee's meetings and the Advancement Committee of the Trustees, as appropriate.
Other duties as assigned.
Bachelors Degree, masters preferred.
3-5 years work experience in higher education or other advancement/engagement roles
Prior supervisory experience desired.
Demonstrated volunteer management with a board or committee.
Excellent written and oral communication skills, and organizational skills.
Proficiency with social media including Facebook, LinkedIn and Twitter.
Proficiency with Raisers Edge software.
Salary: For the majority of new employees, the minimum starting salary will apply. Specific salary for current Westfield State University employees and individuals currently working for the state of Massachusetts must be calculated individually in accordance with collective bargaining and state policies and procedures.
