The Executive Assistant to the Board provides primary support to the George Mason University Foundation Board of Trustees (BOT) and works with senior leadership to ensure smooth and efficient operation of board activities and strategic initiatives within the foundation, the university, and the community.
The Executive Assistant to the Board is responsible for creating and overseeing communications and interactions among internal/external stakeholders (the trustees, the university president's office, the initiatives and engagement team, the donor relations and stewardship team, academic units, and various departments throughout the university). The position will work with the President of the Foundation to ensure that the board operates in accordance with the GMUF Bylaws and Articles of Incorporation. The position will work with the CFO for GMUF in planning and facilitating all board and committee meetings with a commitment to best practices. The position will also work with and assist the Assistant Vice President for Initiatives and Engagement on engagement & events for BOT members. Additionally, this position is responsible for providing administrative and operational support to the Foundation.
Acts as BOT executive support by overseeing and monitoring BOT business, including administrative support of six standing committees and full board meetings;
Schedules and coordinates BOT meetings, anticipating and preparing or arranging to have prepared necessary materials;
Responsible for preparing draft minutes and maintaining official records and files related to the BOT meetings. Administers and analyzes board evaluations and surveys;
Contributes to the planning and implementation of board orientation;
Creates and maintains BOT manual;
Acts as administrator of the board portal, engaging trustees in e-governance;
Develops and executes an information flow plan to monitor outgoing communications to the BOT including electronic and postal event invitations, publications, announcements, meeting requests, etc.;
Works in tandem with the university president's office in simultaneous communication, when applicable, with the Board of Trustees and the Board of Visitors;
Promotes effective e-governance practices by providing knowledge and advice regarding best practices and trends in e-governance; serving as administrator of the board portal;
Manages Nominating and Governance initiatives including trustee retention and recruitment, board engagement, and metrics quantification;
Coordinates with the advancement research department to request trustee profiles;
Organizes list management procedures to maintain confidentiality of sensitive trustee information and appropriate distribution of contact information;
Manages the planning and implementation of an annual board orientation and an investment retreat;
Provides operational support to the CFO and foundation finance staff while functioning with substantial independence in performing multiple duties related to serving as an interface on behalf of GMUF President, CFO, and the foundation finance staff with other offices, organizations, financial institutions and trustees;
Acts as administrative support for the foundation and arranges and coordinates all internal and external activities, appointments, group meetings, trainings, conferences, workshops, travel, and scheduling on behalf of the CFO and the foundation finance staff. Serves as notary for foundation business;
Assists the GMUF President, CFO, and Foundation finance staff in maintaining appropriate relations with the BOT, prospects, donors, external community, corporate leaders, financial institutions, and the University community.
Maintains Foundation electronic listings;
Manages select budgets and credit card use.
Bachelor's degree and/or the equivalent level of training and experience;
Proactive with a strong sense for processes, policies and procedures;
Strong organizational skills, with attention to detail;
Strong customer service skills;
Excellent experience with Microsoft Office Suite;
Demonstrated ability to successfully manage multiple projects and meet tight deadlines;
Ability to effectively prioritize and multi-task;
Event and meeting coordination and planning;
Strong analytical and problem-solving skills;
Ability to generate ideas, think creatively and develop innovative solutions;
Excellent interpersonal skills; professional, diplomatic and able to main confidentiality;
Ability to interface effectively with a broad range of people and roles;
Ability to speak, listen and write clearly and concisely, using appropriate communication tools and techniques;
Excellent data base use and file maintenance
Considerable knowledge of higher education operations, policies, and procedures;
Commissioned Notary Public for the Commonwealth of Virginia.
Salary: Commensurate with education and experience.
