We are searching for a motivated and detail oriented individual to join our Human Resources Shared Services Team. The Shared Service Core focuses on providing cost effective, operational and transactional services through a standardized model. We offer in depth subject matter expertise and knowledge to ensure compliance with University policies.
Reporting to the Directors of Human Resources & Faculty Affairs, the incumbent will be responsible for processing all Human Resources and Faculty Affairs transactions within the Shared Service. The HR/FA Specialist will support a team of HR/FA Generalists and Managers within the Shared Service Core. The incumbent will also be responsible for managing special projects within the office of the Assistant Vice Dean for Human Resources.
The Human Resources and Faculty Affairs Specialist will be responsible for processing all Human Resources and Payroll related transactions for staff and faculty. The incumbent will work closely with the Generalists and Managers to resolve issues or processing questions from departmental and unit administration personnel, applying policies and regulations consistently and accurately.
DUTIES AND RESPONSIBILITIES:
Assists with the recruitment of staff by posting positions using Columbia's job site (Talentlink and RAPS) in addition to posting in outside advertising sources.
Responsible for onboarding staff, faculty and researchers and students. This includes scheduling welcome program, medical surveillance and UNI creation.
Initiate and process template-based hires in Peoplesoft and/or nominations ensuring accurate collection and processing of the information collected in PAC.
Process any employment related changes in Talentlink as well as via PAF (ie. updating position numbers, for promotions, or reclassifications; leave of absences and terminations.
Manage the collections of timesheets for hourly staff and process bi-weekly payroll;
Manage the collection and verification of time off trackers for Officers of Administration ensuring all submissions are up to date and approved by supervisors;
Track transaction status and provide status reports to the Managers and Generalist.
Work closely with the Generalists and Managers to process new visas and renewals utilizing Compass.
Maintain electronic employee files.
Processing all short-term visitors utilizing JIRA.
Work on assigned projects in conjunction with Directors and Managers.
Other related duties as assigned.
Bachelor's degree or equivalent required plus a minimum of 2 years of relevant experience required.
Excellent oral and written communication and interpersonal skills are necessary.
Must be resourceful, organized and detail and task oriented with the ability to establish priorities and follow up on multiple issues in a time-sensitive manner.
Skilled at working under pressure and with minimal supervision and sound independent judgment required.
Ability to exercise a high degree of professionalism, diplomacy, discretion, firmness, and collaboration in dealing with individuals at all levels.
Strong analytical and tenacious problem-solving skills necessary
Excellent computer skills including thorough knowledge of Microsoft Office, including knowledge of databases and advanced spreadsheet skills required.
Must be able to quickly acquire knowledge of University policies, procedures, and systems
Bachelor's degree in Human Resources or a related field
