The Office of Sponsored Programs (OSP) contributes directly to this mission by providing comprehensive support to faculty and staff in the administration of externally sponsored research. The Contracts Team within The Office of Sponsored Programs (OSP) assists faculty and researchers in completing contracts with sponsors (both corporations and the government). In addition, they also handle discussions of such issues as intellectual property, confidentiality, publications and any other contractual concerns.
Carnegie Mellon University's department of Office of Sponsored Programs (OSP) is searching for a Contracts Administrator to be an integral member of the Contracts Team. In this role, you will perform an initial assessment of documents received to determine next steps to assist the Contracts Officers, Contract Analysts, and Subcontract Administrators in reviewing and negotiating agreements. Additionally, you will also identify and monitor compliance issues in agreements being negotiated by other members of the Contracts Team and will be responsible for monitoring the contract negotiation lifecycle, and maintaining accurate records in the electronic contract management system(s).
Core responsibilities will include:
* Monitoring the OSP mailboxes and processing incoming requests. * Reviewing and assessing the incoming request to determine the appropriate OSP team member to assign. Logging the request into the appropriate databases. * Communicating and providing timely responses to requestor and other stakeholders as appropriate. * Coordinating the contract review and negotiation lifecycle. * Working independently to solicit and gather information needed from other departments to complete an agreement file so that the Contracts Officer, Contracts Analyst, or Subcontracts Administrators can begin to negotiate and draft agreements. * Identifying, reviewing and monitoring areas of research compliance in agreements. Ensuring compliance checks have been completed as necessary prior to award processing to SPA. Contacting compliance units, as needed, to obtain required information. * Assisting Contracts Officers Contracts Analysts, and Subcontract Administrators with processing agreements, and documenting and monitoring the contract negotiation lifecycle. * Maintaining the integrity of data stored in the contract management system. Preparing and submitting reports on the contract negotiation life cycle. * Preparing template agreements, and correspondence. Maintaining templates and documents and updating internal agreement award modules. * Distribution of executed agreements to stakeholders. Responsible for the reporting and maintenance of FSRS data associated with Federal spending transparency.
You should demonstrate:
We are looking for someone who is thorough and detail oriented; excellent communication, organization, customer service and reading comprehension skills; ability to manage time efficiently; knowledge of issues impacting non-profit or academic research. Comprehensive computer skills including Microsoft Office suite, Microsoft SharePoint, and database systems. Adaptability, excellence, and passion are vital qualities within the Contracts Team. A bachelor's Degree required.
One year of experience in research administration, contracts, or related experience. Experience in University research administration is preferred.
Ability to identify areas of compliance and other issues pertaining to academic research.
