Responsibilities: The Administrative Assistant (AA), reporting to the Senior Director of Student Services in the Office of Student Services (OSS), acts as the unit's office coordinator. The OSS is the central point of connection for all 2,000 undergraduate Bouve students studying pharmacy, physical therapy, nursing, health science, speech-language pathology and audiology as it relates to academic advising and student support. The administrative assistant (AA) performs diversified administrative, supervisory and support duties as a member of a team to assure the smooth and efficient operation of the OSS and indirectly reports to the professional academic advisors in the OSS. The OSS works with all offices on campus and this position will work with the Admissions Office and prospective students and parents. The AA will maintain administrative systems within the office in the areas of budget, student appointments/scheduling, transfer credits, events, and planning, as well as operations related to the OSS to support student admissions, progression, retention, and graduation. Oversight of the budget accounts. Other duties will include the maintenance and update of the operations calendar, procedure manual, meetings and events within the program, and coordination of these activities with the OSS/College. The AA will also support faculty, administrators, staff, and students with a variety of requests. The AA will assist the Associate Director of Academic Advising and the Senior Director of Enrollment Management with the administrative support and organization of Admissions recruitment events (HSD, Fall Open Houses, Welcome Days, Orientations, N.U.in, Junior Day) and student events sponsored by OSS, including sending out announcements, ordering food, booking rooms, coordinating materials, and as needed leadership responsibilities.
Qualifications: Associate's Degree or 2-3 years applicable administrative experience required. Bachelor's Degree preferred.
At least two-three years of business, health care or academic administrative experience with the ability to work with many different personalities in a fast-paced environment with multiple interruptions. Candidate must have strong communication, organizational, customer service, and interpersonal skills both written and verbal. Must have excellent analytical and computer skills, and experience working with MS-Office. Background in reconciling a budget, event planning, web management, social media, and graphic design is a plus.
