Helps schedule meetings and appointments for the VP for University Advancement with both internal and external stakeholders; maintains her dynamic calendar. Processes all charitable gifts to the university in a timely and detailed manner, including entering data, depositing checks, charging credit cards, and monitoring online giving platforms. Drafts and produces professional business letters and other correspondence, including gift acknowledgements, pledge reminders, and birthday cards. Maintains the alumni/donor database (Blackbaud's Raiser's Edge), by continually inputting, updating, and correcting data. Maintains donor hard files; assisting in transferal of physical information and gift backup to digital. Gathers public information (mainly online) on donors, alumni, and prospects, and produces meaningful synopses for fundraisers and event personnel. Produces larger in-house mailings via mail merge, including event invitations and appeals. Assists with special events and activities by tracking RSVPs, maintaining guest lists, preparing registration materials, attends events and provides day-of support. Handles all administrative duties for donor/trustee meetings and Board Advancement Committee meetings, including preparing and distributing notices, agendas, and minutes, reserve meeting space and parking, etc. Creates fundraising and other data-driven reports as needed.
QUALIFICATIONS AND EXPERIENCE:
Associate's or bachelor's degree in a relevant field. One year of experience using a CRM database on a regular basis; a minimum of two years of experience in an administrative/support position, preferably in a non-profit fundraising office. Proficiency in Microsoft Office. Proficiency in CRM database, preferably with Raiser's Edge or other Blackbaud products. Excellent verbal and written communication skills. Excellent interpersonal skills and telephone manner. At ease speaking with and assisting stakeholders, including trustees, alumni, donors, and executive staff. Ability to stay organized, juggle multiple tasks, and effectively prioritize workload. A positive and professional demeanor, even under stressful circumstances. A proactive, helpful, and curious nature. A desire to learn new things and to problem-solve.
