Essential Job Duties:
The Grants Manager is responsible for the financial management of all grant accounts in the Nuclear Engineering Department within the College of Engineering. The Grants manager will provide advanced technical support to PIs with pre- and post-award administration, especially with compliance issues within the University, Federal Government and Agency guidelines.
The Grants manager reports directly to the Business officer, but works directly with faculty to manage the sponsored projects of the department.
Responsibilities of this position include but are not limited to the following:
Initiating the pre-award process for ledger 5 (contract & grants) accounts
Assisting faculty with preparation, review, and coordination of the proposal submission process; serving as a liaison between PI and college, university, and/or agency during proposal submission process
Assisting PIs and/or preparing proposal budget and budget justifications
Initiating PINS process, sponsor forms per RFP requirements and proposal submission process
Liaising with sponsor on budget preparation
Post award functions related to assigned projects / PIs; initiating actions through the PMR system when required for the following actions on ledger 5 projects: re-budgeting, equipment acquisition, travel, no-cost extensions, pre-award account numbers, and pre-award costs; preparing online journal vouchers and interdepartmental transfers; and preparing budget projections for PIs when requested
Completing the closeout process for ledger 5 accounts; ensure all direct costs for project have been accounted for; indirect costs accurate; ensure departmental policies and procedures are followed; and obtain approval from PI and Department Head before submitting final documentation to the College
Serves as back up to the Business officer and the administrative assistants in the main office.
Performs a variety of other duties as assigned (and as needed).
Extensive interactions with students, faculty and support staff both internally and campus wide.
Attend departmental, college, and/or university meetings to obtain the latest information regarding finance or research related matters.
Bachelor’s degree with 12 credit hours of accounting coursework; or Associate’s degree in Accounting; or Associate’s degree in Business or related discipline with 12 credit hours of accounting coursework; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Thorough knowledge of established governmental budgeting and bookkeeping practices and procedures.
Experience managing and reconciling grant accounts.
Knowledge of the following systems or other similar grant management programs: PeopleSoft Financials system, PeopleSoft HR system, Wolfpack Reporting Systems, Labor Reports, Payroll Distributions, PINS, RADAR.
Knowledge of Microsoft Office Suite or similar software.
Knowledge of Google Application Suite or similar software.
Experience working with DOD, DOE, NIH, and NSF sponsored projects.
Knowledge of the University spending guidelines and research administration (Pre and post award).
Ability to learn processes and systems quickly and be flexible to change and organizational growth.
Must be able to work independently and be able to multi-task.
Knowledge of accounting principles and practices with the ability to plan budgets.
Demonstrated ability to interpret and apply Federal and State fiscal regulations to analyze and correct accounting and financial problems
