The USC School of Pharmacy is seeking a Home Department Payroll Technician.Â Under the direction of the HR Payroll Supervisor, the HD Payroll Technician will prepare and process a variety of payroll transactions for staff, faculty and students to ensure employees are paid timely and accurately. The employee will interact with University Payroll Services, Human Resources Administration, and other university offices as needed to assist employees in resolving payroll related matters.
Prepares, reviews and processes a variety of payroll documents and reports for faculty, staff and students. Determines nature of transaction, paperwork and approval process required. Ensures paperwork is complete and accurate before processing to avoid delays.Â Makes necessary computations and provides all pertinent data, including backup documentation as needed. Identifies exceptions for special handling. Ensures paperwork and reports are processed timely and in accordance with University policies, governmental and agency requirements.Â
Serves as an internal school contact in the research and resolution of payroll related matters. Interfaces with University departments to resolve problems and assist employees in obtaining information and services.Â Provides information to administrators, faculty, staff and students on payroll policies and procedures.Â Responds to general inquiries, referring, unusual or complex situations to supervisor. Â Applies appropriate local, state and federal labor law knowledge.
Coordinates hiring, onboarding and payroll actions for department administrators, hiring managers and employees. Processes and tracks late checks, expense transfers, and overpayments as needed.Â Completes I-9 verifications and re-verifications and assists non-resident employees with submitting appropriate tax documents.Â
Maintains and updates employee timekeeping and time off records using manual or automated systems.Â Conducts audits and periodic reviews of the information to ensure accuracy of the records for employees and management.
Maintains confidential personnel files for the school in accordance with established guidelines and policies.Â Maintains internal records for various payroll transactions and activities.Â Drafts correspondence, memorandums and emails to communicate payroll announcements, reminders, policies and procedures to department administrators and/or employees.
Manages distribution of biweekly and monthly payroll checks to employees.Â Assists employees in resolving questions or discrepancies related to pay checks.
Researches payroll information, compiles data for analysis and produces standard and ad hoc reports for management.Â Manage student worker positions and clean up each semester or academic year to keep requisitions/positions current in Workday.
Conduct training, new hire sessions and other duties and responsibilities as assigned.
Bachelorâs degree with payroll related experience
Previous experience with Workday or other SAAS HR systems
Two years of payroll experience
Experience with visas and various work statuses
MS Office skills specifically in Excel and 10 key accuracy
Strong interpersonal and customer service skills
Exceptional detail and organization skills (strong follow up/follow through)
Strong written and verbal communication skills
Ability to learn and adapt quickly
Ability to manage multiple projects, adjust to changing priorities and perform well under pressure
Ability to work autonomously with minimal supervision
