This position supports the development and implementation of comprehensive student activities, conferences, events, and athletic programs that support student recruitment, persistence, and success; extend UMN Morris’ liberal arts mission beyond the classroom; and increase the use of campus facilities by external groups to enhance the University’s reputation, revenues, and student recruitment.
The position provides administrative support for Intercollegiate Athletics and Student Activities, Conferences and Special Events, coordinating both offices. The position supports the Director of Intercollegiate Athletics, the Senior Director of Student Activities, Health and Wellness, and administrative teams, coordinates student employment, and supports financial and business functions. The position will collaborate with Student Activities, Conferences and Events, and Athletics staff, campus offices, and programs to develop and implement a plan for campus events that:

Office Administration (70%)
Office Coordination and Customer Service
â—‹ Ensure a welcoming, organized, and effective office environment. â—‹ Build effective working relationships with staff, students, and collaborators across campus, within the University, and in the community. â—‹ Welcome and support student leaders, student athletes, other students, staff, faculty, and visitors. Answer and direct phone calls and distribute mail. Provide information as needed. â—‹ Abide by all policies and procedures of the University of Minnesota and NCAA DIII.
Facility Scheduling and Events Calendar Management
â—‹ Organize and schedule facility usage, meetings, and appointments. â—‹ Train and work with student Office Assistants to create an effective, customer service oriented process for users to reserve space and schedule events on campus. â—‹ Assist in scheduling daily events in the Student Center and other campus spaces as appropriate.. â—‹ Assist the Athletics and Student Activities, Conferences, and Events teams in supporting events and camps.
Prepare contracts for high school tournaments and events in the Cougar Sports Center.
Support and manage online registration for Athletic summer camps.
Assure compliance with the University of Minnesota Safety of Minors policy.
Work with student organization leaders, program staff, and collaborate with other campus offices and programs to assure an accurate and up-to-date UMN Morris calendar of events.
â— Financial and Business Support
â—‹ Assist Office Assistants in adherence to campus budget processes. â—‹ Assist program staff and student organization leaders with budget processes; run reports, coordinate purchase orders, and manage office PCard use. â—‹ Reconcile Student Activities small organizations budget account on a monthly basis. â—‹ Assist coaches and other staff with planning program related travel and reconciling travel expenses through Chrome River. â—‹ Oversee the purchasing and management of office supplies and resources. â—‹ Oversee timely billing for campus events, in collaboration with program staff and the Business Office; ensure appropriate distribution of funds as appropriate. â—‹ Assist with data tracking, program assessment, and recordkeeping.
â— Event ticket sales
â—‹ Assist student organizations with Audience View event creation for ticketed events. â—‹ Serve as one of the main contacts with University of Minnesota Tickets and Events staff. â—‹ Manage Cougar home sporting events ticket and concessions change funds as well as other ticketed events within the Cougar Sport Center and related facilities. â—‹ Assist with game day preparation and support with supplies such as tickets, cash boxes, programs, and pass lists.
2. Supervision of Student Staff (30%)
Coordinate hiring, training, supervising, and evaluation of a diverse group of student employees in the Office of Student Activities, Conferences, and Events and the Office of Intercollegiate Athletics, working with the Financial Aid Student Employment program.
Manage employment contracts, maintain staff lists, coordinate scheduling with program staff, track student employee hours, and verify time cards.
Develop and implement a student employment training and assessment program to foster, evaluate, and assess student learning and development, working in collaboration with program staff and the Student Employment program.
Assure compliance with departmental, campus, university and NCAA policies and procedures.
Collaborate with other campus departments to assure an accurate and up-to-date UMN Morris calendar of events.
The University of Minnesota Morris, Office of Student Activities, Conferences and Events and Intercollegiate Athletics, seeks a Principal Office and Administrative Specialist. The Office Coordinator (UMN Classification: Principal Office and Administrative Specialist, 1826) is a shared position, reporting to Intercollegiate Athletics and Student Activities, Conferences and Events. The position is a 10 month, full-time appointment, with an additional summer appointment of two days per week. Work hours are typically Monday - Friday, 8:00 am - 4:30 pm., with some scheduled evening and weekend hours. This position is represented by the AFSCME Clerical Bargaining Unit.
High school diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
Proven experience using computers and office technology (e.g. Google OfficeSuite, Microsoft Word, and/or Microsoft Excel software).
Strong written and verbal communication skills.
Ability to organize projects and prioritize multiple tasks on a daily basis.
Strong interpersonal skills, including the ability to work effectively with people from a wide variety of backgrounds, cultures, and experience
