The mission of the Gay, Lesbian, Bisexual, Transgender, and Allies (GLBTA) Pride Center at Bridgewater State University is to support the success of GLBTA students and their peers, and to foster a campus climate of inclusion and equity.
Military and Veteran Student Services is committed in assisting the military and veteran community at Bridgewater State University in achieving academic and personal success.
The Administrative Assistant I is responsible for providing administrative support to the day-to-day operations of the GLBTA Pride Center and Military and Veteran Student Services Center.
Tour of Duty: Monday – Friday, 8:45am – 5:00pm (Subject to Change) Saturday and Sunday as days off.
This is an AFSCME unit position and is subject to the terms of that union agreement.
1.Provide administrative support to the directors of the GLBTA Pride Center and MVSS including office support, event planning and marketing of services and programs offered. Provide support on various initiatives under the direction of the GLBTA Pride Center and MVSS.
2.Provide friendly knowledgeable support regarding programs and services to all students, faculty, staff and others that interact with the centers. Respond to and direct inquiries via phone, email, mail or in person.
3.Ensure efficient operation of the center's daily office functions: update/schedule appointments, order supplies, schedule office coverage for both centers.
4.Assist in coordinating special events and activities including program registration, communication, room reservations, food services, audio/visual arrangements, marketing materials.
5.Work closely with the directors to track and monitor the office budgets, purchase orders, collection of revenue and maintain accurate excel spreadsheets of expenditures for various accounts.
6.Participate in events and programs to help create a welcoming environment. Events and programs include, but are not limited to: New Student Orientation, LGBTQ 101, GSA Day, Safe Zone, Lavender Graduation, transfer orientation and various initiatives to create a successful student experience.
7.Assist in marketing and publicity efforts to increase awareness and engagement for GLBTA Pride Center and MVSS to include services and events. Create and maintain content on departments websites and social media platforms.
8.Serve as point of contact for student employees in both centers. Schedule student employment coverage for both centers. Serve as supervisor and approve time sheets for student workers in the Pride Center.
9. Assist the directors in student employment hiring process; create positions, hiring proposals and interview process.
10.Assist MVSS with VA compliance surveys and serve as a back-up VA certifying official and military benefits processor.
11.Maintain department files and information databases. Draft and prepare reports to help identify data trends in the centers.
12.Attend some evening and weekend events and provide support as requested for GLBTA Pride Center and MVSS.
13.Performs related duties and projects as assigned.
-Must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions list in MA State Job Specifications. -Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities. -Ability to prepare general reports and maintain accurate records with technology including word processing, spread sheets, database management, and web software. -Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations. -Ability to follow written and oral instructions. -Ability to write concisely, to express thoughts clearly and to develop ideas in logical sequence. -Ability to assemble items of information in accordance with established procedures. -Ability to determine proper format and procedure for assembling items of information. -Ability to demonstrate time management and attention to detail. -Ability to communicate effectively in written and oral expression. -Ability to deal tactfully with others and provide a welcoming customer experience. -Ability to exercise sound judgment and work without immediate supervisor when appropriate. -Ability to exercise discretion in handling confidential information. -Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds. -An openness to learn about diversity, equity, and diversity in particular as it relates to LGBTQ students and military-connected students. -Willingness to actively support the success of LGBTQ students and military-connected students.
