The GRASP Academic Coordinator will coordinate logistics of all events for GRASP and PERCH; conferences and tours, including K-12 Outreach and the Robotics Masterâ™s Program. Work closely with the GRASP Administrative Director to determine strategic event initiatives within the department and complete tasks in a self-directed manner where initiative and problem solving are expected. Serve as the Graduate Coordinator for the Robotics Masterâ™s Program.
This Academic Coordinator will coordinate logistics of all events for GRASP and PERCH; conferences and tours, including K-12 Outreach and the Robotics Masterâ™s Program. Work closely with the GRASP Administrative Director to determine strategic event initiatives within the department and complete tasks in a self-directed manner where initiative and problem solving are expected. In addition, work independently with GRASP Faculty to implement event logistics based on the faculty memberâ™s program or event/meeting/workshop initiatives. Duties will include but are not limited to, communication with GRASP faculty; plan and coordinate logistical needs for events; work with Engineering support services (EOS, CETS, MBO, SEAS Communications) and external services for printing, hotel accommodations, catering, etc, and on-site coordination of events. Coordinate GRASP outreach initiatives with center staff.Â Office administrativeÂ staff coverage from 9am-5pm M-F expected with occasionalÂ weekendÂ or evening events required.Â Attention to detail and upholding the GRASP brand and standards in all aspects of the position is expected.
Serve as the Graduate Coordinator for the Robotics Masterâ™s Program. Duties will include, but not be limited to, coordinating processes and logistics of NSO, class registration, advisor selection, student course and wellness advising, plan of study and worksheet approvals. Handle administrative aspects independently of the admissions process, including organizing and sorting internal and external applications, preparing application materials for review by the ROBO Program Faculty Chair, organizing prospective student visits, and answering inquiries. Maintain the ROBO academic pages and student/alumni profiles on the GRASP website. Track alumni and admission efforts/ data, which includes compiling responses from surveys and email engagements. Additional responsibilities include, but are not limited to, assigning student space allocation (main campus labs) and laboratory access; and providing administrative support by working with central departments (EOS, CETS, MBO, SEAS Communications), to accomplish tasks including room reservations, processing purchase orders, and accessing IT support as needed. Occasional operation of a motor vehicle for transport to annual Science Festival and other GRASP events will be required for this position.
Qualifications:Â Â Â A High School Diploma or GED and a minimum of five years of related administrative experience or an equivalent combination of education and experience. Associate's degree preferred. Experience planning events and working with vendors and experience with MS Office and G Suite. Experience using CMS to post web content and knowledge of various social media channels for professional purposes highly desirable. Prior experience working with students and faculty preferred. Familiarity with Pennâ™s procedures and systems including Concur and SRS a plus. Valid driverâ™s license required.
