VENUE PLANNING ASSISTANT 1 , Media Lab (ML) , to contribute to the daily operations of the E14/E15 venue management team by guiding DLC event hosts through the steps necessary to plan a safe, well-coordinated event; assist with special projects; and act as the main point of contact for event host groups/DLCs. Responsibilities include assisting with venue scheduling, coordinating event logistics, and overseeing conference room reservations; greeting DLC event hosts; serving as an information resource for policies surrounding events and/or room use; cohosting quarterly workshops to teach event hosts how to reserve space, monitor/update information using event planning software, create work orders, etc.; working with vendors/caterers/event coordinators to ensure adherence to MIT and ML space use rules; working closely with MIT and ML Facilities; placing work orders with internal/external vendors; reviewing event spaces before and after events; assisting with streamlining of daily reservation operations; drafting, editing, and proofreading templated correspondence; updating website content; assisting MIT Office of Sustainability and Procurement to test out materials management solutions; database and file management; summarizing events and making recommendations for changes; creating work orders; processing billing and journal vouchers; assisting with event set-up; and performing other duties as assigned.
Job Requirements REQUIRED : high school diploma; three years' office and/or event planning experience; strong interpersonal and verbal and written communication skills; attention to detail; discretion with confidential information; proficiency with the Google Suite (Gmail, Docs, Sheets), MS Word (Mac and PC platforms), Excel, and Adobe Acrobat; comfort working in a highly diverse and international environment; and ability to build productive working relationships with a wide range of people.
