Under the supervision of the Director of Administrative Operations, the Faculty Assistant II provides administrative and secretarial support for the faculty of the Law School. They handle external communications between Law School programs and clinics directed by faculty and the legal profession and the community. They assist the Clinical Directors in the day to day administration and operation of their respective clinics. This includes full compliance with applicable federal matching grant program requirements and all required reporting per the terms of the agreements. This person coordinates special events (including competitions), including by scheduling dates, making facilities, catering and travel arrangements, and arranging hotel and/or transportation accommodations under the direction of faculty members. This role also types, proofreads and edits correspondence, faculty publications, manuscripts including syllabi, class outlines, class rosters, student examinations and class handouts.
Bachelor's degree or equivalent education or experience related to the duties and responsibilities specified. Minimum two years' experience in providing administrative support. Strong written communication skills to prepare clear, concise, and grammatically correct business correspondence, including solid editing and proofreading skills. Excellent proficiency in PC based computer software including Microsoft Office (Word, Excel, Outlook, Power Point, and Access). Proficiency in other common office equipment and software. Technical skills to learn to use enterprise software systems needed for the position. Strong oral communication skills to convey accurate information in a tactful and diplomatic manner. Excellent judgment. Excellent telephone etiquette skills and the ability to direct calls, give information, and take accurate and detailed messages. Strong customer service and interpersonal skills, including the ability to foster effective relationships and work with a diverse group of individuals from within and outside the University community. Ability to maintain a high level of confidentiality and comply with FERPA regulations. Strong organizational skills to carrying out duties when faced with interruptions, distractions and a fluctuating workload. Ability to learn and interpret policy and procedures. Ability to formulate and communicate logically with sound conclusions and recommendations. Skill to prepare basic online financial forms and reconcile expenses. Ability to schedule and coordinate logistics for meetings, workshops and events, including coordinating catering, travel, and special equipment. Ability to establish and maintain office files.
Experience supporting faculty or others at a university or college setting. Experience supporting multiple people or programs simultaneously. Working knowledge of University policies and procedures that pertain to the duties of the position. Working knowledge of PeopleSoft and SAP Concur.
