DUTIES: The Department of Orthopaedics and Rehab Medicine at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant. The Incumbent is assigned functional and administrative supervision over a small clerical staff and receive direct supervision from a senior administrator and Chairman. Typical duties include: - Performs divisional level administrative support, liaison, and office coordination for the Adult Reconstruction Service. - Receives inquiries and complaints; coordinates with others as necessary to obtain the required information; may compose appropriate written responses. - Searches files, gathers facts and complies a variety of data required for preparation of reports; acts as liaison to expedite the flow of information. - Schedules and coordinates meetings and other work-related activities. - Coordinate clerical work activities; determines work priorities and method. - Receives visitors and receives calls for information requests, directing calls or relaying information the appropriate parties. - Opens, sorts and distributes mail. - Coordinates activities to ensure timely submissions of documents or information that may be required of several staff personnel to complete a major project. - Types drafts and finishes a variety of documents from written or verbal instruction, including correspondence, reports and other materials that are sensitive, complex or technical in nature. - Prepares reports where the information may be gathered from several sources or may be difficult to organize and compile; searches records and provides factual data from information on file. - Takes dictation, which may include minutes of meetings and transcribes notes into finished documents. - Composes a variety of letters, memoranda, instructions and other documents on own initiative or from brief notes or verbal instruction. - For relief purposes, may be assigned clerical or secretarial activities or other personnel - Support patient care activities. - Performs other work as assigned. Strong interpersonal communication skills; Excellent written and oral communication skills. Experience in Office Outlook and Microsoft word.
