·Responsible for scheduling including quarterly & annual budget meetings with College units, as well as the monthly College Administrators meetings, along with all meetings logistics.
PCard: Serves as the College PCard Administrator. Responsible for monitoring weekly PCard, compliance to PCard policy and resolving unreviewed transactions. Handles PCard (and Dept. Card) application processing and card distribution.
HR: Supports HR functions for the College Dean's office and the Office of Academic Integrity & Student Conduct. Recruitment support includes coordinating searches, reviewing and screening resume when asked; processing hiring paperwork and assisting with new staff onboarding. Works with managers and FAS HR to process leaves, terminations and off-board employees. Administers bi-weekly and weekly and temporary payroll and time-off requests.
Budget Management: Support the oversight of a portfolio of College units (Residential Houses) to support Asst. Director in the monitoring of budgets, fund management and compliance. Assist Fin Team generating financial reports and analyzes. Responsible for coordinating meeting materials including preparation & distribution of quarterly budget variance reports, annual budget meeting packages, including preparing of agendas.
Administration: Coordinate monthly College Administrator meeting (and financial workshops) with Assistant Director. This may involve managing monthly invitation, room scheduling, food order, guest speaker arrangements, material preparation, etc. suchascopying,scanning,maintainingelectronicandpaperfiles,anddeliveryofmaterialstovariouscampuslocations
Scheduling & Office administration: Schedule College quarterly and annual budget meetings, and handles Assoc. Dean of Finance & Administration's calendar, plus schedule other meetings as needed. Handle meeting logistics including room reservations. Maintain A&F central financial files and record management.
Financial Operations: Serve as Oracle Asset preparer for the College; Responsible for preparation of A&F and College Dean's Office AR/AP (HCOM/Concur).

3 years of administrative experience working in an office or academic environment in HR and/or finance capacity
Bachelors' degree strongly preferred. Demonstrated competency in use of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) as well as experience with Oracle, PeopleSoft, Harvard Careers and Aurora preferred. The ability to work discretely with confidential HR and Financial information is necessary. Ability to work across teams on a variety of projects and with multiple constituencies. Proven oral and written interpersonal skills. Experience working independently, following through and completing tasks, with minimal instruction. Candidates should have strong communication and interpersonal skills, organizational abilities, attentiveness to detail, and a sense of professionalism.
