Rutgers, The State University of New Jersey, is seeking a Program Support Specialist (Cancer Biology), for the Department of Radiation Oncology, Division of Radiation Physics at the Rutgers Cancer Institute of New Jersey.
The primary purpose of the Program Support Specialist is to provide administrative support and coordination of assigned faculty in the Cancer Biology Division of Radiation Oncology Department. Responsible for working with the Administrative Analyst to prioritize and execute division functions, including, but not limited to a broad range of administrative functions, report creation and analysis, grant applications, learning, utilizing and applying new and existing technologies as appropriate, and fiscal procedures of the division.
Among the key duties of this position are the following:
Provides executive level support for faculty including coordination of calendar, processing correspondence, initiating and/or implementing special projects. Oversees the maintenance and organization of the assigned faculty member's calendar, including meetings, conferences and travel arrangements.
Learns and applies technologies and software as needed to perform job functions. Utilize Outlook and other applications as needed to prepare reports, spreadsheets, online forms and surveys, presentations, etc. Attend training as needed to remain adept at these technologies.
Independently maintains and updates academic and grant documents including but not limited to: publications, CV, NIH other support page Maintain a record of accomplishments of supported faculty (publications, lectures, grants applied for, etc.) and regularly submit this information into department database to be used in reporting.
Oversees and is responsible for purchase requisitions, check requests (Marketplace), travel reimbursement (Expense Management), etc. Assist with lab supply orders as requested. Organizes and maintains system of records electronically.
Independently handles projects as assigned, such as grants management, internal and special reporting and recruitment activities.
Minimum Education and Experience:
Bachelor's Degree in Business Administration or a related field, plus two (2) years of experience in a clinical setting or academic institution.
Equivalent education, experience and/or training may be substituted for the degree requirements.

Must be dependable, flexible, and people-oriented.
Must be willing to work additional hours to meet deadlines, as needed.
Must have excellent oral and written communication skills and a highly professional demeanor in person and on the telephone.
Must demonstrate effective oral and written communication skills.
Ability to speak effectively before groups of employees of the organization.
Must be computer literate with proficiency in Microsoft Word, Excel, Access and PowerPoint and be able to adapt and learn new technologies as needed.
Ability to navigate the Internet.
Previous experience with Varian's Radiation Oncology Aria.
