This full-time, non-exempt position provides complex administrative support to the Director of Administration and the Department Chair. Oversees all administrative aspects of faculty reviews and searches. This includes but is not limited to, maintaining candidate files/databases, facilitating review of materials by committees, placing advertisements for faculty postions, coordinating campus visits, preparing dossiers for submission to deans, etc. Coordinates and administers appointments of visiting faculty, departmental fellows and departmental associates which can require working with the Harvard International Office. Oversees records management process/policies for the department. Maintains Chair's calendar and schedules appointments, screens external phone calls, schedules all departmental committee meetings. Attends VES Full and senior faculty meetings and takes minutes (note: the incumbent will flex their schedule one Tuesday per month to attend faculty meetings, which may run until 6pm). Maintains academic and departmental master calendar. Regularly updates websites. Provides staff assistance as necessary (back-up) to include telephone and reception work, distribution of materials, mail sorting, etc.May include website updates and catalogue input. Other special project work as assigned. Reports to the Director of Administration.

3+ years experience in an office environment required (education may count towards experience).
Experience with Microsoft Word and Excel preferable as well as secure file transfers.
Bachelor's degree strongly preferred.
Individual must have superior organizational skills, be able to handle multiple tasks simultaneously and meet deadlines in a busy, complex environment with competing priorities. Candidate should have excellent verbal and written communication skills. Must possess impeccable attention to detail. Must be able to work independently with minimal supervision, and to communicate and work effectively with a range of personalities and styles. Flexibility, adaptability and a customer-service orientation essential. Must be proficient in standard office software, including Word ( (mail merges, report generation) ), Excel, e-mail and web-based calendars. Experience managing small budgets is very helpful. Must be comfortable working in both Mac and PC environments. This position requires sound judgment, tact, maturity and poise, and the ability to handle highly confidential information with a high level of discretion. Previous Harvard experience and a sense of humor is a plus.
