Maintain files and records; answer telephones; prepare and mail outgoing correspondence or parcels; prepare correspondence, forms, files, and reports for processing, storage, or forwarding; answer inquiries; operate standard office machines and equipment; and perform related work as required. The basic purpose of this work is to provide clerical support for the Athletics Department.
Example of Duties: (Not intended to be an exhaustive list)
Will work with the Assistant Dean of Athletics, Health and Wellness, and will be responsible for sending out on a weekly basis all invoices, Authorization to Pay (ATP) forms, Internal Requisition to Purchase/Encumber Funds form, Travel Advance Request, and Travel Authorization Request forms.
Will keep a daily log of missing ATP's and follow up with each athletics staff member each week on missing documentation forms.
Will keep a daily log in an Excel spreadsheet of all Encumbrance forms submitted to the Business Office, noting date of receipt, cost center/requestor, vendor & dollar amount.
Will provide administrative support to the Athletics Department Office in general, pro-actively ordering supplies and equipment prior to their complete exhaustion.
Will provide support as needed for the Athletics Department front desk function, meeting & greeting students, keeping a log of student questions including date & time of visit, contact information, etc.
Assist with the scheduling of appropriate athletic facilities for intercollegiate athletic practices and contest, which includes the gymnasium, field house, outdoor athletic fields, and locker rooms.
Will be the backup person to answering calls to the front desk telephone.
Flexible schedule required, including evenings and weekends as necessary.
Other duties as assigned.
Knowledge of Microsoft Office software including Word, Excel and Access.
Candidates must have at least three years of full-time, or equivalent part-time, experience in office work; a certificate or diploma from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.
Knowledge of the types and applications of standard office filing systems.
Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, the types and uses of office equipment and supplies and business letter preparation.
Skill in operating general office machines and equipment.
Excellent oral and written communication skills.
Ability to exercise sound judgment.
Compensation: The salary is determined according to the guidelines and salary structure of the AFSCME Collective Bargaining Agreement. Based on Grade 13-Step 1, the annual rate is $40,650.48
