Position Summary: Executive Assistant to the Executive Director of the Career Center who will have responsibility for a wide range of administrative and executive support related tasks while working independently with little or no supervision.
Position Responsibilities: Liaise with various internal departments and may be required to have frequent external contact Handle all processing of departmental staff job descriptions and salaries Assist in onboarding of new hires May be required to coordinate work assignments and assess the work of assigned staff Serve as the primary point of initial contact on any matter Independently research and prioritize incoming issues and determine appropriate course of action, referral and/or response Receive, screen, evaluate and determine appropriate response to all written correspondence received by the office Independently formulate and disseminate written responses as appropriate Maintain calendars, make travel arrangements, and update pending commitments and appointments Assist supervisor with administrative requirements Track departmental vacation and sick time and approve timesheets bases on schedules Complete new staff and student worker electronic paperwork as well as departing staff and student workers; make requests for technological access for applicable platforms for new hires Manage special projects/programs, some of which may have University-wide impact Maintain office correspondence and reply to inquiries Respond in a timely manner to queries, and urgent matters must be brought to the attention of senior management Coordinate and/or assist in establishing or recommending budget allocations for the office and review revised and final budgets Available for all ad hoc requests including but not limited to: processing reimbursements creating purchase orders, reconciling the budget and reclassifying funds, paying vendors, etc.
Experience & Educational Background: Bachelors Degree 3-5 years of administrative experienceEquivalent combination of experience, training and/or education will be considered
Skills & Competencies: Must possess strong knowledge of Microsoft Word, Excel and PowerPoint. May use other software programs, databases, and applications as assigned Must demonstrate discretion, confidentiality, good judgment, initiative and attention to detail Must be able to effectively track time and resources to prioritize own work assignments Must possess strong customer service, communication and organizational skills May be required to work independently and produce quality work from conception to completion on assigned projects
