Faculty Assistant - Georgetown University Law Center
The Faculty Assistant serves on a team of faculty assistants who support the teaching and scholarly responsibilities of full-time law faculty members. S/he provides professional support to, on average, ten to twelve assigned faculty and supports services that may include assisting faculty with the entire range of their Georgetown teaching responsibilities, committee assignments, and scholarly work. The incumbent is expected to collaborate and communicate effectively with all members of the Law Center community (faculty, students, and staff), vendors, visitors, and the public in order to provide comprehensive, high level support to Law Center Faculty. Receiving direct oversight from the Assistant Director of Faculty Support, the Faculty Assistant has additional duties that include but are not limited to:
Course Management Support
Assists with Canvas tasks including: sending announcements, creating modules, creating appointment slots for office hours, and posting slides.
Makes room requests and coordinates with A/V and 1ST for services.
Assists with the preparation of class materials and communications - including class rosters, photo seating charts, syllabi, and presentation slides.
Assists with travel arrangements, reimbursements, and parking pass requests for invited guest speakers.
Utilizing University travel systems, assists with travel arrangements and reimbursements for university-related travel, providing scheduling and calendar support for Georgetown meetings or conferences.
Coordinates with A/V, 1ST, the Mail & Copy Center, external vendors, and Event Services for meeting and event support.
Communicates with Financial Affairs for balance and spending inquiries for faculty research funds and faculty ProCard use.
Coordinates office supply requests and requests facilities assistance for faculty.
Maintains copier workstations, including the replacement of toner and paper supply.
Troubleshoots copy machine and faculty computer and printer issues, escalating to the appropriate Xerox, Faculty Support, or 1ST contact as necessary.
Assists with the creation and editing of faculty members' university-related correspondence and presentations
Answers telephones, meets and escorts guests, greets visitors and students, provides information, takes phone messages, and transfers callers or visitors to other departments as needed
Prepares, sends, and receives Georgetown-related faxes, FedEx, courier, and mail deliveries
Proactively communicates information to and collaborates with other faculty assistants, faculty, students, external professionals and collaborators, RAs, and other Law Center staff
Assists faculty with locating support for projects and activities outside the scope of a faculty assistant's responsibilities
Utilizes Web Press to update faculty profiles on the Law Center website
Scholarship and Research Support
Supports faculty scholarship by scanning, photocopying, and indexing or compiling research materials, books, and files.
Communicates requests to the Library on matters including scholarship updates, overdue books, and book requests.
Performs basic web, Westlaw, and Lexis/Nexis searches, assisting faculty with the indexing and cataloguing of their office libraries.
Completes special projects as requested by assigned faculty, paying close attention to detail, quality of work, and project timelines.
Assists with the editing of faculty writing and research, based on assistant's availability, interest, and area of expertise when needed.
Teamwork and Professional Development
Attends and actively participates in team meetings, working collaboratively with other faculty assistants.
Provides coverage for other faculty assistants as needed.
Seeks opportunities to improve processes, suggesting and implementing improvements while regularly seeking feedback.
Performs other duties as assigned to ensure excellent faculty support operations, volunteering or contributing to special projects or ad hoc committee work in support of the Georgetown Law community when necessary.
At least two years' prior experience in administrative support and/or customer service roles
Experience with the practical application of routine office practices and techniques
Strong communication and interpersonal skills, including experience working with a wide range of individuals
Past experience with and proficiency in Microsoft Office, Google Suite, and Adobe
The ability to gain proficiency with other office and campus technologies (including GMS/Workday, Concur, and Canvas)
Proactive, strategic, and organized with the ability to balance a wide-range of responsibilities in the support of their assigned faculty
A bachelor's degree and previous experience in higher education or a law office environment
