Assists with the recruitment and retention of students through various outreach measures and represents the office and university at various internal and external functions. Coordinates front desk/main phone coverage. Monitors and responds to financial aid email. Reviews verification documents for accuracy and completeness and enters into SIS, Reviews sorts, prints and mails/emails financial aid award notifications for students. Assists Associate Director with federal work-study employment processing. Sends notifications to delinquent loan borrowers monthly. Trains, assigns, and schedules office work-study employees on varies front desk and clerical duties. Uploads and monitors electronic document upload to OnBase for federal documents and/or Satisfactory Academic Progress to ensure workflow review efficiency for all office staff. Annually updates office forms. Responsible for all office orders. Provides administrative support to the all FAS department. Creates and sends multiple campus wide communication messages to student, Daily Titan, and other departments. Makes independent decisions based on past practices and procedures. Will assist FAS Counselor with office workflow to service students, staff, and others to eliminate or reduce wait times. Advise students, prospective students and their families about the FA application process.
Provide information regarding types of aid, documents required for verification and C Flags, and informs students of criteria for maintaining eligibility based on award type. Triage students when situation can't be handled at the front counter but does not require an appointment with a counselor or administrator. Post information to PS after reviewing for accuracy and completeness, i.e. various appeal types, verification/C flag documents, financial aid request and correspondence contracts. Assists with the review process for verification. Answers financial aid phone traffic. Serves as office liaison with Vocational Rehabilitation counselors. Coordinates Vocational Rehabilitation Financial Aid Communications and assists with work-study postings and processing. Completes work-study Limit of Earnings adjustments. Schedules, assign, and trains work-study employees on various front office and clerical duties. Completes income/expense forms for tribal scholarships. Verifies aid for housing authorities/apartments and other sources as needed. Supervises the coordination of OnBase scanning for all documents related to FAS. Responsible for maintaining and responding to daily emails sent to the general office email account, sending mass emails to students as well as Bulletin Board postings, publishes monthly FA newsletters. Creates E-docs for new FAS work study members. Process memberships for all department for state, regional, and national organizations. Monitors office supplies and places orders of various type for the department, such as supplies and promotional items. Assists with various reports. Prints and mails Financial Aid Notifications to incoming class. Provide administrative support to the FAS leadership.
High school diploma and GED and one year of experience in high volume office working with the public.
Ability to work with people from diverse backgrounds in a sensitive manner. Excellent interpersonal and communication skills. Ability to analyze data quickly and accurately. Ability to handle difficult situations and determine appropriate course of action. Ability to provide accurate information to all stakeholders with each interaction. Excellent customer service skills. Proficiency with Microsoft Office suite. Accuracy in data entry and the ability to manage multiple projects with deadlines effectively.
Bachelor's degree. Knowledge of financial aid regulations.
