Reporting to the Associate Director of Conference Services and Director of Business & Conference Services, the successful candidate will support the Office of Conference Services administration and operations during the academic year and summer conference season. The conference season operates predominantly during the summer months of June – August with potential for expanding day events to year-round. The Conference Services Manager will assist in scheduling and coordinating conferences, meetings, and banquets including arrangements for on-campus housing, dining hall meals and private catering services.
The candidate will serve and assist in the execution of the terms of client contracts and agreements, arrange for facilities and services, such as room rental and set up, catering and food service, housing, registration and student staffing.
Assist and help manage logistical aspects for participants scheduled arrival, to include confirmation materials, food and lodging, supplies, special needs, etc.
Liaison with internal and external event organizers at the start of, during and post conferences and events.
Manage on-campus housing assignments for staff and guests including linen services.
Assist with housekeeping operations, linen inventory and supplies.
Manage relationships with all internal campus services and external vendors who support conference operations.
Maintain detailed accounts and communications; expenses, contract, payments and invoice files.
Create, review and distribute client invoices to ensure accuracy and compliance with payment and services.
Assist with student staff recruitment, training and work scheduling and timesheets.
Manage communications; conference phone, email and online requests.
Conduct client tours of campus and facilities.
Learn and become proficient with 25Live event management program for venue scheduling and Conference Programmer (CP) software for contract, invoice and housing management.
This position requires a flexible schedule to include nights and weekends.
During off-peak periods during the academic year, the Manager will assist and support the Associate Director and Director of Business & Conference Services with projects and assignments as needed.
Bachelor’s degree plus two or more years of experience in conference and event planning, customer service relations, office administration and staff supervision, preferably in a college or university environment.
