The Assistant will exercise initiative, independent judgment and discretion in providing administrative support to the President of the DUSA including calendar management, scheduling, travel arrangements, and meeting support. Greets students and other visitors to the office and answers questions via phone or email. Monitors department budget. Coordinates all department purchases, reconciles procurement card statements and maintains detailed purchasing records.
DUTIES AND RESPONSIBILITIES:
Greets students and other visitors to the office. Answers questions via phone and in person. Schedules appointments. Monitors, distributes and answers daily mail and emails. Maintains the reception area.
Provides administrative support and clerical assistance to the President of DUSA including calendar management (this will include weddings and baptisms), scheduling, travel, meeting and event support.
Coordinates all department purchases, reconciles procurement card statements and maintains detailed purchasing records. Monitors department budget in Banner system, including monitoring endowed scholarship funds. Manages payroll process for department.
Ensures office filing system is maintained; ensure copies of all essential documents or forms are placed in respective file.
Provides assistance during all DU Scholarship Association events, including planning event logistics and collaborating with partners from other areas of campus to ensure that events proceed successfully.
Exercises tact, discretion and confidentiality in processing/handling sensitive material.
Prepares reports as needed; prepares requests for information which may include completing questionnaires and compiling data from files; types or compiles information, such as meeting minutes, budget material, and contracts.
Performs other duties as assigned.
High school diploma or equivalent.
At least 3 years of progressively responsible relevant work experience.
Bachelor’s degree from an accredited institution.
Prior administrative experience in higher education.
Alternately, the successful candidate will possess any equivalent combination or training and experience which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to the following:
Knowledge of University policies and procedures.
Thorough knowledge of Microsoft Office software including Microsoft Word, Excel, and PowerPoint.
Knowledge of online technologies and familiarity with web-based systems.
Ability to prepare reports and to maintain complex records and data.
Ability to use independent judgment in making decisions in accordance with established office policy and procedures.
Ability to communicate effectively, both orally and in writing.
Strong interpersonal, organizational and attention to detail skills.
Excellent customer service skills.
Ability to work well in a team atmosphere.
Ability to maintain confidentiality.
Ability to multi-task and manage multiple priorities.
