Rutgers School of Dental Medicine (RSDM) is currently seeking an Executive Assistant for the Office of Vice Dean. Provides high-level, confidential and diversified administrative support to the Vice Dean. Serves a key role in promoting the effective and efficient operation within the office while exercising considerable discretion and independent judgement in handling day-to-day matters on behalf of the Vice Dean.
Coordinates and manages special projects and programs to ensure the successful outcome of the projects and that timelines are met.
Assists in the administrative preparation and processing of Faculty and Staff Performance Evaluations.
Works with the Program Administrator on the annual review of organizational structure, job responsibilities of support staff, including existing, new, reassigned or expanded functions and updates/revises job descriptions, as required.
Develops and submits administrative plans to ensure that the effective and efficient implementation and control of administrative outcomes are achieved.
Along with Program Administrator, creates an annual schedule for the development of staff through training, such as, development courses, in-service sessions, webinars and training offered by other departments or national organizations.
Develops and administers departmental programs and policies that contribute to the retention, motivation, and development of existing staff.
Analyzes and interprets the departmental operating budget with a view toward ensuring their appropriate use; manages budget and maintains records of fiscal expenditures; serves as account custodial.
Supervises and reviews programs and activities, evaluates their administrative objectives, efficiency, effectiveness and suitability to current conditions, costs and accomplishments.
Minimum Education and Experience:
Bachelor's Degree plus three (3) years of administrative experience. Additional related experience may be substituted for the degree on a year-for-year basis.
Required Knowledge, Skills, and Abilities:
Outstanding human relations and leadership skills, and the ability to function in a team environment.
Demonstrated knowledge of how to accomplish superior performance in a unionized environment.
