ADMINISTRATIVE ASSISTANT 2 , Nuclear Science and Engineering (NSE) , to provide administrative support to four NSE faculty members and their students, visitors, and postdoctoral staff. Will assist with navigating MIT administration and complying with requirements related to grants and contracts; use knowledge of MIT, department, and funding agency policies and procedures to enable the day to day activities of the groups; and ensure that routine administrative functions happen efficiently both within the assigned groups and the department. Responsibilities will include preparing and editing documents; preparing standardized grant proposal materials with minimal supervision; coordinating travel arrangements for faculty and staff and preparing travel (Concur) expense reports; monitoring grants and contracts; purchasing supplies; resolving issues with vendors, the procurement office, and accounts payable; organizing events; supporting teaching activities; editing course web sites on Stellar or equivalent sites; assisting with calendar management; and maintaining website.
REQUIRED : high school diploma or its equivalent; at least three years of relevant administrative experience; excellent interpersonal, organizational, customer service, and communication skills; ability to multitask and work both independently and as part of a team in a busy work environment; discretion when interacting with students; proficiency with Microsoft Word and Excel; a basic understanding of the accounting processes of billing and invoicing; experience planning meetings and events and working within a budget; ability to anticipate needs; and sound judgment and discretion with confidential information.
