The Office of Graduate Education (OGE) in the Stanford University School of Medicine (SOM) provides centralized programs, services, and advocacy that empower all Biosciences PhD and masters students and the faculty and staff who support them in order to enhance the training experience. We promote the development of community and personal resilience through a lens of diversity, inclusion and equity. The Associate Director for Biosciences Graduate Aid (Student Services Officer 3) is a key member of the School of Medicine Office of Graduate Education. Reporting to the Associate Dean for Graduate & Career Education and Diversity, and working primarily with student services staff and university colleagues, this position provides expert guidance in the following critical areas:
Graduate aid policy. Interpret and implement University and SOM Biosciences graduate aid policy, recommend best practices in funding and hiring matriculated and non-matriculated graduate students, coterminal master's students, and postdoctoral fellows.
Graduate aid finance and systems. Provide guidance to department staff in the areas of multi-year student budgeting, GFS entry, and graduate aid reporting. Develop and implement tools at the school level to ensure maximum and appropriate utilization of fellowship and student support funds. Graduate aid expert for development and expansion of the Graduate Financial Planning System. Provide guidance in related areas, such as unapplied aid, TPC, the campus health insurance subsidy, combining awards, student employment and emergency funding resources.
Academic systems and authority. Expert resource on student services authority as well as University academic systems (CLSS, Admit, degree audit, etc.). Collaborate with various campus offices on systems enhancements and advocate for changes to better meet the needs of faculty, staff and students.
Student services staff professional development and support. Identify and implement skills training for School of Medicine staff in the areas of graduate aid policy, graduate aid systems, endowed fellowship assignment, and university systems.
Financial management. Oversee SOM funds, including budgeting and year-end reconciliation through the supervision of a financial analyst.

Advanced degree in a relevant field, such as Higher Education, Student Affairs or Business Administration
Advanced facility with standard office software (or ability to learn); including communications and research software (e.g, Word, Excel, Tableau, Qualtrics, MailChimp, Caspio, SlideRoom, or similar platforms)
Previous experience in program coordination, student services or related field
Detailed knowledge of the range of challenges that graduate students encounter; strong ability to identify needs and to help provide for those needs
Ability to balance the management of long-term, complex projects with day-to-day program activities and communications
Demonstrated experience serving as an effective mentor in an educational setting
Ability to produce effective digital communications
Excellent oral, written, and analytical skills
Discretion in handling sensitive and/or confidential student and university information
EDUCATION & EXPERIENCE (REQUIRED): Bachelor's degree and five years of relevant experience, or combination of education and relevant experience. KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):
Advanced communication skills to clearly and effectively communicate information to internal and external audiences, client groups, and all levels of management.
Strong analytical and problem solving skills to review and analyze complex information.
Advanced computer skills, including experience with Microsoft Office Suite.
Advanced customer service skills.
Relevant computer systems/technology experience.
Understanding of financial transactions.
Ability to ensure and apply compliance with legal, financial, and university policies and external regulations
Frequently sit, perform desk-based computer tasks.
Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
