The Accounts Payable Specialist is responsible for the accurate and timely performance of accounts payable, travel, student refund checks processing, and other financial functions of the College. The Accounts Payable Specialist exercises a high level of professionalism in performing duties as the immediate contact person for the Finance Office by way of providing customer service to student and other inquirers.
Examples of Duties:
Processes all purchase orders, invoices, travel requests against the appropriate budget line item for payment
Verifies the accuracy of all invoices against orders received, needed signatures and approvals, checks packings slips and extensions, ensures appropriate discounts are taken, and subsequently disburses all payments for the College in a timely manner.
Prepares and makes journal entries into the College's computerized accounting system to correct budget codes and other miscellaneous data, as necessary.
Verifies the accuracy of all requests for travel.
Processes student refund checks.
Maintains all account payable filing systems for the Finance Office in a timely manner to ensure that the payment of invoices is not duplicated, and that items are readily available when needed.
Responsible for year-end closing of accounts payable vouchers for fiscal year audits.
Recommends improvements to existing accounts payable accounting processes and related procedures.
Prepares outgoing mail and sorts incoming mail.
Performs other duties, as assigned.
High school diploma or equivalent education required. Associate degree in Accounting or related field preferred.
Experience with a Higher Education Software (Colleague) preferred.
Minimum of one-year Accounts Payable experience.
Advanced proficiency in Microsoft Office Suite
Excellent interpersonal and communication skills required.
